Program Coordinator - Institute For Faith, Leadership, And Service

This position is fully grant-funded under APU's Cornerstones Project. Through the Cornerstones Project, APU will empower a new generation of young leaders to live out their faith in service to others, inspired by a theological framework that integrates spirituality, reflection, and action. Young adults will engage in meaningful service opportunities that will help them discover their potential and envision the impact they can have as they grow spiritually. The Cornerstones Project recently launched APU's Institute for Faith, Leadership, and Service, which unites students, faculty, and staff to explore the deeper theological dimensions of serving others and enhancing the university's ability to provide training in theological reflection and Christian leadership. The Institute for Faith, Leadership, and Service will establish APU as a center of collaboration to support innovative service initiatives among the university and external partners, including churches, Christian K-12 schools, and parachurch organizations. This initiative will serve hundreds of APU students with a further reach of thousands of middle school, high school, and college students, with APU serving as a hub over the five-year grant period, fostering a deeper connection between academic learning and spiritual formation.

The Program Coordinator is a full-time (40 hours / week) position that will work closely with the Operations Manager to provide leadership in various administrative functions of the Institute for Faith, Leadership, and Service and the Center for Vocational Ministry. This position directly reports to the Operations Manager of the Institute for Faith, Leadership, and Service.

Required Education

Bachelor's degree required.

Required Experience

Two to four years of administrative management experience in a large ministry or Christian higher education environment is preferred.

Primary Duties / Essential Functions

  • Work collaboratively with the Operations Manager and the Executive Director on initiatives of the Institute for Faith, Leadership, and Service, providing administrative support including scheduling, communication, and other administrative tasks.
  • Provide first point of contact for those who walk into the Institute and Center for Vocational Ministry, serving as a receptionist to students, faculty, staff, or pastors. Provides scheduling and administrative assistance for inquiries related to the center and institute.
  • Independently represent the Institute and the Center for Vocational Ministry with discernment and tact to internal and external constituencies through phone, electronic, and face-to-face communications.
  • Assist the Operations Manager in monitoring and updating systems to fully digitize all CVM records, ensuring compliance with University and School records policies.
  • Manage the reconciliation of credit cards for the Institute and Center staff.
  • Assist in social media, websites, and other communication with the community.
  • Assist in event planning and offer support at all events of the Institute and Center for Vocational Ministry.
  • Assist in the registration process for participants in conferences, certificate programs, cohorts, and other events. Assist in the creation of registration forms such as Formstack and other platforms, as needed.
  • Prepare materials needed for staff meetings, workshops, courses, and other events offered by the Institute and the Center for Vocational Ministry.
  • Support the Executive Director's schedule, appointments, correspondence, and travel. Draft correspondence, agendas, and other writing projects as requested.
  • Coordinate the interview and hiring process of full-time and part-time staff. Develops and maintains confidential personnel and financial files.
  • Develop a comprehensive CVM staff development process for onboarding new hires, enhancing retention through individualized development, and updating training as new systems are implemented in CVM and / or the University.
  • Coordinate hiring and training of student workers. Supervise student workers to provide excellent support to the department.
  • Support and coordinate activities related to "Faith and Service Incubator" participants such as undergraduate students, church youth groups, Christian high schools, and partnering non-profits. These include strategic convening events.
  • Maintain a safe and clean reception area by complying with procedures, rules, and regulations.
  • Perform and oversee general office duties such as maintaining calendars, typing, filing, and distributing mail, answering phones, ordering office supplies, duplication, and processing expense reports.
  • Assist with purchase order payments and processing honorariums.
  • Assist in all office supplies and work orders for the Institute and Center.
  • Maintain regular, punctual attendance as required by the supervisor based on department needs.
  • Perform other duties as related to the job description as requested by the supervisor.

  • Compensation

  • Grade 7 : $19.49 to $22.41 is the hourly compensation for this role and reflects what Azusa Pacific University reasonably expects to pay for this position. Actual compensation may vary based on the qualifications, experience, and internal equity. In addition to compensation, APU offers a competitive benefits package.
