As Bookkeeper / Administrative Assistant, you will be responsible for performing bookkeeping and clerical tasks to support daily operations.

Bookkeeping responsibilities :

  • Approximately 20 hours per week spent updating various client’s books and records.

Administrative responsibilities :

  • Welcome guests (employees, clients, new business prospects, vendors) upon arrival
  • Answer, screen and forward incoming phone calls on multiline phone system
  • Ensure reception area is tidy and presentable, with all necessary stationery and supplies
  • Perform clerical duties such as scanning, filing, photocopying, transcribing and faxing
  • Send daily Out of Office email to Admin team
  • Update calendars and schedule meetings
  • Receive, sort and distribute daily mail / deliveries
  • Travel to various banks to make deposits, usually once a week
  • Travel to USPS, UPS and / or FedEx as needed, usually once a week
  • Keep inventory of supplies and appraise team when something needs ordered
  • Assist with Partner projects as requested
  • Keep updated records of mailing expenses
  • Purge billing books; scan completed billing notes
  • Type and edit financial statements as requested; Print, bind, and mail to client
  • Job requirements :

  • 2-3 years experience in an office setting preferred
  • Experience using MS Office with a proficiency in MS Excel.
  • Excellent communication and writing skills.
  • Ability to meet deadlines, multi-task and be well organized.
