A prominent regional law firm is seeking an Administrative Assistant to join their team in their Downtown LA office. As an Administrative Assistant, you will play a crucial role in ensuring the efficient operation of the office.
Your primary responsibilities will involve managing the mailroom, maintaining records, and supporting attorneys and staff with various administrative tasks.
Key Responsibilities :
- Scan and process legal mail for multiple attorneys.
- Sort and distribute incoming mail and packages.
- Prepare outgoing mail and packages for shipment.
- Answer phones, greet and direct clients and guests, adhering to security protocol.
- Manage conference rooms, including scheduling and maintaining appearance and supply levels.
- Coordinate catering for meetings and events.
- Maintain the overall cleanliness of kitchens, supply rooms, and conference rooms.
- Keep files up to date, following a filing system, and organizing records such as letters, legal documents, case files, and correspondence.
- Assist with clerical tasks including filing, faxing, scanning, sorting, typing, and copying.
- Maintain inventory of office supplies and materials, including mailroom-specific supplies.
Qualifications :
- Previous experience in an administrative or mailroom role is preferred.
- Familiarity with office management procedures and equipment.
- Proficiency in MS Outlook, MS Word, and other relevant software.
- Strong organizational skills with attention to detail.
- Ability to manage multiple tasks under pressure.
- Customer service experience with a people-oriented approach.
- Dependable, reliable, and adaptable to changing tasks.
- High tolerance for stress, thriving in high-pressure environments.
Compensation :
$50k - $60k annually depending on experience
