General Statement of Duties :
Provide support to the Division of Human Resources and Payroll addressing a wide variety of responsibilities pertaining to the recruitment, hiring and onboarding of employees at the college.
Responsibilities :
- Support the Dir. Of Employee Development with all aspects of recruitment and new employee onboarding.
- Provide administrative coverage and assist with day-day operations of the HR and Payroll office when needed.
- Manage all day-to-day transactions in the hiring process including but not limited to providing assistance with creating job descriptions, hire request forms, posting / advertising new / replacement positions, and completing the recruitment process from posting to filing the position.
- Serve as the subject matter expert / super-user for Interview Exchange online applicant tracking system
- Assist managers with use of system
- Assist prospective job candidates with application process and questions
- Act as point person for Hirezon Interview Exchange system vendor
- Manage open pool positions in Interview Exchange including updating expiring positions and managing email communication with applicants to determine status and provide support with re-establishing their applications.
- Provide customer service support by answering employee / external customer requests and questions as needed.
- Serve as the liaison between internal hiring managers and external job applicants.
- Performs miscellaneous administrative duties, e.g. compose, answer and distribute departmental correspondence and handle telephone inquiries as needed.
- Assist with tasks associated with the department, e.g., special projects, surveys, information requests, and reports.
- Participate in administrative meeting / recruitment events representing the HR & Payroll Division.
- Work with team members to provide appropriate office coverage as needed.
- Develop and update training materials regarding hiring process laws, policy and best practices for hiring managers and search committee members.
- Provide professional development and instruction on the search process to hiring managers, and search committee members as needed.
- Work with the Dir. Of Employee Development on the delivery and management of the exit interview process.
- Prepare M002 & M004 salary computation forms when necessary to provide salary information to Hiring Managers.
- Performs other duties as assigned.
Requirements :
Minimum Qualifications :
Associate's degree or higher.3+ years of administrative support experience.Strong oral and written communication skills.Demonstrated experience evidencing attention to detail in work productKnowledge and ability in preparing forms using Microsoft or another platform.Demonstrated ability to handle sensitive information in a confidential and professional manner.Ability to effectively handle multiple projects simultaneously and work in a high traffic office.Demonstrated proficiency with Microsoft Word, Excel, Access, Forms, Outlook and PowerPoint.Demonstrated exceptional customer service and organizational skills.Demonstrated appreciation for diversity in the workplace and how diversity affects workplace dynamics.Demonstrated experience working as an effective member of a team.Desired Qualifications :
