Job description

The Administrative Assistant will provide high-level administrative and operational support to ensure smooth day-to-day processes across multiple areas of compliance, financial tracking, and facility operations. This role requires strong organizational skills, attention to detail, and the ability to manage sensitive and confidential information while supporting leadership in achieving performance and regulatory goals.

Key Responsibilities :

  • Assist with analysis and monitoring nursing staffing ratios
  • Assist with monitoring facility clinical, labor, and financial performance
  • Support facility property management, capital expenditures, and renovation monitoring
  • Provide customer service for Rockport managed facilities, ensuring timely and satisfactory resolutions
  • Assist with tracking and reporting on various projects including :
  • Arbitration Rates
  • Resident Benefit Applications
  • Therapy Utilization
  • HMO Rates
  • Selected Vendor Invoices
  • Selected GL Expenses
  • Support employee-related compliance tracking including missed punches, meal penalties
  • Support volunteer, activity, and medication donation program
  • Provide general administrative support, including scheduling, preparing reports, and assisting with special projects as assigned

Qualifications :

Previous administrative support experience, preferably in healthcare, compliance, or financial services.

Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).

High attention to detail with strong organizational and multitasking skills.

Ability to manage sensitive information with discretion and professionalism.

Excellent written and verbal communication skills.

Familiarity with healthcare operations, compliance tracking, or finance preferred.

Work Environment :

This role is primarily office-based with standard business hours, though occasional flexibility may be required to meet deadlines or urgent needs.
