Position Function :

Assists and advises the Vendor Management Program (VMP) Manager in ensuring that bank wide vendor / third party risk is appropriately managed and mitigated through the Bank's Vendor Management Program

Performs all duties and interacts with internal and external customers in a manner that is expressly aligned with the Company's Core Values of approaching all actions with a “Voyaging Spirit” and being “Positively Ohana”. Primary Accountabilities :

  • Assists the VMP Manager to ensure compliance with the requirements of the Vendor Management Program
  • Work closely with contract managers to ensure they understand the requirements of the Program; provide the contract managers with appropriate training and available tools and necessary assistance to ensure they comply with the Program requirements. Review contract manager’s submissions and evaluate for accuracy and completeness.
  • Track contract manager’s progress and assist with preparing periodic reports to management and the Board on the status of the Program, to include any areas of concern or elevated risk.
  • Collaborate with other areas of the Bank (Enterprise Risk Management, Compliance, Information Security, Business Continuity, etc.) to share information and support compliance of other programs where overlaps exist.
  • Work closely with other areas of the Bank’s subject matter experts (Compliance, Information Security, Business Continuity, etc.) in the vendor risk mitigation and sign-off process focusing on high risk items for review.
  • Work with contract managers to ensure they understand and complete the requirements for vendors that have a material impact on the Bank’s financial reporting (SOX vendors).
  • Keep abreast of regulatory changes and update the Program as necessary to ensure the Program is in compliance with regulatory requirements.
  • Assist with providing the required Vendor Management Program documentation and evidence to auditors and examiners as requested.
  • Identify on an on-going basis opportunities for improvement regarding the Vendor Management Program’s processes, policies and / or procedures.
  • Complete Certified Regulatory Vendor Program Manager program and maintain certification
  • Manages day-to-day responsibilities associated with VendorPoint and Venminder, the Bank’s vendor management system and vendor monitoring service, to include :
  • Manage (add, delete and change) users on the VendorPoint system to ensure users are current and access levels are appropriate.
  • Work closely with contract managers to ensure the information on the VendorPoint and Venminder systems are accurate and current and that due diligence and other program documents are filed and linked for future access.
  • Add new vendors for vendor monitoring services on the Venminder system coordinating with the Venminder staff to ensure vendors are properly set-up.
  • Participate in quarterly VendorPoint user group meetings and quarterly vendor meetings. Use information learned from these meetings to enhance the Bank’s Program.
  • Input new vendors and changes to information on vendors in the Bank’s accounts payable system
  • Ensure timely and accurate input of vendor information (new vendors, changes to vendor information, ACH information, etc.) in accordance with current procedures.

Minimum Qualifications :

Education :

Risk Analyst I and II :

  • Bachelor’s Degree in Business Administration or equivalent work experience required.
  • Experience : Risk Analyst I :

  • 6-12 months of business / financial experience (vendor relations, contract management or procurement management preferred) required.
  • Risk Analyst II :

  • 1+ years of business / financial experience (vendor relations, contract management or procurement management preferred) required.
  • Physical Requirements & Working Conditions :

  • Must be able to perform light physical work and to move or lift items including but not limited to boxes, files and papers up to 20 pounds unless otherwise as indicated.
  • Must be able to operate and proficiently use standard office equipment, including phone, copier, personal computer and / or other work related mechanical or electronic devices and applications.
  • Must be able to clearly communicate verbally and in writing with all internal and external customers. Must also be able to hear sufficiently to engage in daily discussions and interactions.
  • Must be able to read and understand bank-related documents.
  • Must be able to work in a conventional office setting, involving sitting at a desk or workstation for long periods of time. Must also be able to adapt to different work environments as needed to perform the job.
