Job Description

Are you looking for a role where you can make a difference for local women- and minority-owned businesses? Do you enjoy working as part of a team? Love to organize? Use checklists? Double and triple-check for accuracy? Feel comfortable working through technology? Learn new programs quickly? Have strong communication skills?

If so, this may be the perfect fit for you! We are looking for an off-site Entry-Level Project Coordinator seeking 20-30 hours of work per week.

Job Details

The project coordinator handles the administrative and organizational aspects of 8-15 marketing projects at a time, ensuring they run smoothly and efficiently. They work closely with and provide strategic support to the Marketing Strategist on those projects.

We are a women-run agency focused on supporting women- and minority-owned small businesses, typically between 5-100 employees.

We have weekly Zoom team meetings and meet up in-person with clients as needed. But otherwise, you are able to work whenever and wherever — provided you have a good internet connection!

Responsibilities :

  • Serving as the primary point of contact for clients, including setting up meetings, answering questions, and getting information
  • Communicating clients’ feedback / questions to team
  • Adding and assigning tasks
  • Pinging people about late or nearly due tasks
  • Figuring out “time budget” problems
  • Gathering and analyzing market data and conducting competitor analysis
  • Supporting the development of marketing plans
  • Tracking campaign performance metrics
  • Getting answers for client questions
  • Checking the team email and assigning messages out to the appropriate team members
  • Assisting with marketing tasks, including copywriting, design, research, and other activities as needed

Questions You Will Be in Charge of Answering :

  • Do we have the time budget for this?
  • Who will handle this?
  • When is it due?
  • Can this task get added to the system?
  • Can I have more work?
  • Does the client like it this way…?
  • Can you find out if the client has…?
  • Did the client ever get back to us about…?
  • Did the client approve / have notes on…?
  • This role provides an excellent opportunity to develop essential skills such as project management, data analysis, and strategic thinking. By successfully executing these responsibilities, project coordinators can build a strong foundation for a future career as a Marketing Strategist or Project Manager.

For the first three months, this role will be a contract position. This period will give both you and the team an opportunity to determine if this is the right fit. After this training period, you will be considered a permanent employee.

To support your professional growth, we offer a variety of development opportunities, including financial support for training programs, mentorship, and certifications.

Once you are a permanent employee, you will be eligible to receive two weeks of paid time off (40 hours) and all major holidays off, including your birthday. Payment is on a weekly basis by direct deposit or check. Unfortunately, at this time, we do not offer health insurance or 401k benefits.

WE’RE LOOKING FOR SOMEONE WHO :

  • Is self-motivated  and doesn’t require a lot of hand-holding to get things done.
  • Is easy-going, flexible, and willing to help  the team in whatever way is needed.
  • Is highly organized, detail-oriented, and serious about organization and processes.  You’re good at logistics and details. You like to write lists and work from a checklist at all times. And fixing incorrect grammar is like an itch you have to scratch.
  • Is tech-savvy and easily picks up new programs.  We work with Office, Google Sheets, Google Docs, WordPress, Canva, social media, MailerLite, Monday.com, Slack, and many other programs based on client needs. (If you hate learning new programs, you will not enjoy the position.)
  • Is a strong, proactive communicator.  Both in writing and verbally. We check in every week to see how we can better support one another — we’re looking for a team member who will communicate when they need help or are overwhelmed.
  • Isn’t afraid to try something new and fail.  We see failure as a learning opportunity. “Failure doesn’t mean the game is over; it means try again with experience.” - Len Schlesinger
  • Is extremely dependable.  Our work is incredibly flexible in that you can do most of it anywhere and at any time, but much of it also comes with very clear and specific deadlines. We're a married couple with two young kids, so we get that crazy things sometimes come up. However, it is vital that work gets done on time. We can always assign the work to another team member, but only if you let us know as soon as possible that there’s an issue.
  • ABOUT OUR WORK ENVIRONMENT :

    Solutions-oriented.

We don’t look to assign blame — we work to find solutions together.

    Challenging.

We’re a small business helping out other small businesses.

    Always learning.

We embrace new challenges and take on clients across industries and locations.

    Responsive.

We listen to our clients and to each other.

    Okay with boundaries .

We set and enforce boundaries with clients, each other, and ourselves.

    Required to prioritize mental health.

We require you to take time off and prefer you rest when you are sick.

    Often on weird hours.

We don’t all work the same schedule.

    Productive.

    We get stuff done.

    Honest.

We give and expect kind honesty from each other and our clients.

    Experiences frustrations and triumphs.

We journey through the ups and downs with our clients.
