The Office Administrator at The Blanchard Institute serves as the primary point of contact and represents The Blanchard Institute with the highest level of professionalism. This role ensures that all clients, visitors, and callers experience a welcoming and well-organized environment that reflects the organizations standards of excellence. With primary responsibility for client scheduling, the Office Administrator should have medical scheduling experience and demonstrate a high level of organizational ability. The successful candidate will demonstrate strong interpersonal skills, the ability to manage multiple priorities efficiently, and an unwavering commitment to confidentiality and professional integrity.
This is a full-time role, Monday through Friday with variable hours.
Required Qualifications
In this pivotal role, your responsibilities will vary greatly as you support the organization in many functional areas. Your primary role is to create a professional and welcoming environment, answer incoming calls, greet clients upon arrival and follow check-in procedures. You will coordinate the schedule for the medical department following department protocol / policies and entering instructions needed for scheduling in the EMR. You will have the opportunity to support clinical care by assisting in preparing orientation materials, facilitating workshops and participating in departmental meetings.
You will support compliance efforts by conducting fire drills, and ensuring adherence to environment of care standards. Your responsibilities will include stocking supplies and overseeing building safety and cleanliness, preparing group rooms, coffee / water stations and ensuring common areas are clean and organized. You may provide minor troubleshooting for electronics or IT / AV equipment and performing AED maintenance.
