(Chicago) The purpose of the Donor Fulfillment Associate is to ensure the day-to- day mailroom operational tasks are completed. This includes ensuring shipping and receiving packages on behalf of the Fellowship and the preparation of receipt mail prior to machine insertion in addition to all product and premium fulfillment orders. The Donor Fulfillment Associates will work in tandem with the Fulfillment Manager for optimization of resources toward a superior donor experience. This position is based in our Chicago headquarters and is onsite 5-days a week.
We are seeking an individual with a high school diploma or equivalent experience. Minimum of 1 year mailroom experience using postal meters, mail inserters, and other industrial scale mailroom equipment as well as processing online mailing options. Experience with online and manual fulfillment and packaging of orders.
Essential Job Responsibilities Include :
Machine Operation :
- Printing on average 8,000-14,000 letters, daily receipts & fulfillment / premium orders on a daily basis with accuracy.
- Troubleshoot the mail machines- making fine-tuned adjustments to mailing inserters and postage meters a Investigates discrepancies as necessary.
- Print the daily Q-letters, receipts, & fulfillment / premium orders mailroom daily prepping letters to insert for final envelope and postage application via the meter.
- Investigate discrepancies with machines when needed.
Mail and Package Distribution :
Sort and distribute incoming and outgoing postal and courier mail as determined by the Donor Fulfillment Manager.Work with Donor Fulfillment Manager to review and assess all departmental daily workflows and provide suggested solutions to improve accuracy and efficiency.Good oral and written communication skills.Excellent customer service skills necessary to effectively interact with internal and external customers.Strong attention to detail.Self-starter with the ability to work independently and with a sense of urgency.An ability to handle multiple duties with interruptions in a fast-paced environment while maintaining accuracy, focus, and high level of service.Strong team player willing to assist team members as needed or requested.Ability to move and lift 30-50 lbs. packages throughout the office.Special Projects :
Assists in manual special mailings that need to be processed without machine automation.Assists other departments with special mailings. May also act as primary backup for initial setup of letters for processing. Receives and completes Department shipping requests via USPS, Fed Ex, or UPS daily.Mailroom Support and Inventory and Standard Operating Procedures :
Monitor Donor Fulfillment inventory related to mailroom and fulfillment - replenishes supplies as necessary in tandem with Mailroom Manager. Verifies that all incoming and outgoing items are properly marked and inventoried.Follow standard operating procedures to ensure consistency and efficiency in operations.Technical & Individual Skills :
Ability to type a minimum of 25 wpm.Basic to intermediate skills with MS Word, MS Excel, Internet and Intranet.Demonstrated ability to move and lift 30-50 lbs. packages throughout the office.Functional knowledge of industrial scale mailroom equipment.Good oral and written communication skills.Excellent customer service skills necessary to effectively interact with internal and external customers.Strong attention to detail.Self-starter with the ability to work independently and with a sense of urgency.An ability to handle multiple duties with interruptions in a fast-paced environment while maintaining accuracy, focus, and high level of service.Strong team player willing to assist team members as needed or requested.Come experience all The Fellowship offers, including the ability for you to make an impact in a global nonprofit with collaborative team members, professional growth opportunities and mission focused work.
