The Opportunity
The Event Assistant, Global Marketing ( position works out of our Austin, TX location in the Cardiac Rhythm Management Division.
The Event Assistant, Global Marketing, will provide essential support to the Global Events team within Abbott’s Cardiovascular CRM Division. This role focuses on assisting with the coordination and execution of smaller-scale education events, travel logistics, and administrative tasks. The Event Assistant will work closely with the Global Event Manager and broader marketing team to ensure smooth operations and high-quality event experiences. This position is ideal for someone highly organized, detail-oriented, and eager to grow within the events and marketing space.
What You'll Work On
Support the planning and execution of smaller regional education events and tier 4 global trade shows under the direction of the Global Event Manager.
Assist with travel coordination, hotel bookings, and logistics for internal and external stakeholders attending events.
Create and manage Cvent registration forms for assigned events.
Submit and track expense reports related to event activities, ensuring accuracy and timely processing.
Help maintain organized documentation and records for all events.
Coordinate shipping of materials and promotional items for smaller events.
Assist with booth setup / teardown and on-site logistics as needed.
Communicate with vendors and internal teams to support event execution.
Provide administrative support including calendar management, purchase orders, and literature distribution.
Help prepare post-event reports and surveys.
Deliver excellent customer service to internal teams and external partners.
Travel occasionally and work outside of normal business hours to support event schedules.
EDUCATION AND EXPERIENCE YOU’LL BRING
Bachelors Degree Marketing, Business or Communications, preferred.
Minimum 1 year experience in conventions and event planning; preferably in the healthcare industry but not mandatory.
Preferred Qualifications
Strong organizational skills and attention to detail.
Ability to manage multiple tasks and meet deadlines.
Experience with Cvent, Concur, and Monday.com is a plus.
Excellent communication skills (written and verbal).
Self-motivated and able to work independently with guidance.
Comfortable working in a fast-paced, team-oriented environment.
Basic knowledge of social media and digital tools is helpful.
1–3 years of experience in events, marketing, or administrative support
Ability to lift, carry, and push up to 40 lbs
Travel Requirements
Up to 30% travel required
Must be available to work outside of normal business hours to support event schedules
