ATD Office Manager :
30-40 hours per week in schoolo Subject to change based on school's need
1 hour per week participating in school manager's meeting4-6 hours per week for administrative taskso Completing DSJ
o Completing weekly reports
o Scheduling private lessons
4-6 hours per week training and conducting front desk assessments. Time based on demando Quality of calls
o Sales training
o Customer Concerns
All other hours are found fully dressed out on deck, working front desk, or as manager on dutyUphold Aqua-Tots Swim Schools Core ValuesResponsible for hiring, training, assessing, coaching and performance of office staffResponsible for developing goals to achieve revenue budgets each monthResponsible for organization within the school following GMs directionEnsures cleanliness from floor to ceilingEnsure accurate timesheets and hours that reflect the true schedule for office staffVerify time clock with scheduled shifts in WIW prior to payrollOversee substitutes and resolve scheduling conflictsIf no office staff is available for shift, it is the OM's responsibility to coverAnticipate staffing needsEnsure quality of Aqua-Tots standardEvaluate weekly sales and create daily targets (conversions, revenue, saving withdrawals)o Verify targets are achieved
Develop, mentor, and identify future leaders in the next generation of excellent front desk representatives for Aqua-TotsSchedule monthly in-services and choose the in-service topic for the monthFollow and implement Aqua-Tots Swim Schools customer service guidelines to ensure an exceptional customer experience for every customerEnsure quality and customer service standardCommunicate effectively with potential and existing customersBuild relationships with families, know their names and their children's namesAddress customer concerns, providing a win / win outcomeRespond to parents within 24 hours of any reported instructor performance concernUse the customer-focused principle in each customer interactionReport unresolved complaints to General ManagerAs a leader in swim instruction for over 25 years, Aqua-Tots is the largest swim school in the nation.
