Job description

Court Administrator

Responsible for the administration of judicial support. Carries out any and all executive and administrative duties. Directs day-to-day operations, performance and management, hiring, disciplinary actions, and implementing court policies adopted by the Judge.

Essential Job Functions :

  • Prepares the monthly report for the Office of Court Administration and Texas DPS Conviction Report.
  • Accountable for the quality and quantity of work performed by subordinates and assures the accomplishment in the prescribed manner.
  • Maintains comprehensive files, records, documents, and plans related to the operations and performance of the department.
  • Performs independent work assignments for the Municipal Judge under broad guidelines with minimum direction that are of a complex nature.
  • Must have the ability to prepare court orders.
  • Keep and maintain a docket containing each case filed and court action taken.
  • File a certified transcript of the docket with the district court on the first day of that court's term.
  • Enter the proceedings of each trial in the judge's docket.
  • Prepare the court's budget for submission to the City Manager or city council.
  • Process (subpoenas, summonses, warrants, and attachments) to compel the attendance of persons as witnesses in municipal court.
  • Authenticate all official acts of the court by affixing the court seal to all papers issued by the court except subpoenas.
  • Handles all incoming / outgoing correspondence / memos.
  • Handles public information request.
  • Prepares and presents comprehensive reports to the City Council to support informed decision-making.
  • Maintain regular and prompt attendance; physically present to work.
  • Perform after-hour work as required (nights & weekends) and assist with emergency response as needed by city hall and local EOC.
  • Perform other similar or related duties as assigned by the City Manager.

Minimum Qualifications & Requirements :

  • Knowledge is normally acquired through four years of college resulting in a Bachelor's Degree, or equivalent.
  • A minimum of four (4) years' experience in management of court procedures and supervisory responsibilities.
  • TMEC Certification, updated annually.
  • Must have a valid Texas "Class C" driver license and must be insurable.
  • Applicant will be subject to a complete background investigation. Incomplete, inaccurate and / or failure to report information will cause the applicant rejection from consideration.
  • Must successfully complete Emergency Management and Incident Command Training within first three months upon hire.
  • Knowledge, Skills, and Abilities :

  • Demonstrated ability to interact with the public with tact, professionalism, and courtesy in a businesslike manner.
  • Ability to establish and maintain effective working relationships with internal staff, auxiliary personnel, other city departments, elected officials, and external agencies.
  • Must demonstrate integrity, honesty, and a sound judicial temperament.
  • Ability to make informed decisions based on relevant data, established laws and regulations, or applicable city policies.
  • Demonstrates reliability and accountability by following instructions, responding positively to management direction, taking responsibility for actions, honoring commitments, working extended hours when necessary to achieve goals, and ensuring timely task completion or proactively communicating alternative plans.
  • Ability to read and interpret documents and perform all job functions with special attention to safety rules and city policy procedures.
  • Ability to adapt to changes in the work environment; manages competing demands; changes approach or method to best fit the situation and able to deal with frequent changes, delays, or unexpected events.
  • Physical Demands :

  • Prolonged periods of sitting at a desk and working on a computer.
  • Occasional walking, standing, and stooping.
  • Occasional lifting, moving, or positioning objects up to 30lbs.
  • Little to no physical demands required to perform the work.
  • Works in a well-lighted office setting with heating and cooling air conditioning.
