Primary Duties and Responsibilities :

Coordinate the programming, events and logistics of the Counseling, Advising and Transfer Services department. Collaborate with the department administrator and faculty to plan events, support software implementation systems, and align counselor and advisors schedules with student need. Develop reports based on department and institutional data in order to share with the department administrator to be used in decision-making. Assist in providing training materials and development of the systems for staff as needed. Attention to detail and a high level of organization is a key component of this position.

  • Manage the day to day operations of events, event data and software including organizing logistics for department programs.
  • Ensures that event details including communication, venues, presenters, travel arrangements, materials, refreshments, and technology are arranged and completed in an appropriate and timely manner.
  • Serves as a department liaison for programming and events with Academic Affairs, Student Affairs, Marketing and Outreach, Continuing Education, Central Scheduling and College of Dupage Center locations.
  • Collaborates with Marketing and Communication to develop targeted marketing related to departmental events and programming and ensures the department website is up to date.
  • Manages the daily operational schedule for the department including Counselors and Faculty Advisors.
  • Develop regular weekly and monthly reports to analyze department activities and prepare data reports as requested by the department administrator.
  • Provide input and recommendations for the improvement of services or procedures.
  • Assist staff with office technology including Microsoft Word, Excel, video conferencing, Outlook, Qless, shared documents and provide training as necessary.
  • Serve as the department super user for current and future scheduling and case management software systems. Make recommendations for improvement.
  • Manage the year-long calendar for staff schedules, activities, projects, programming and peak coverage needs.
  • Coordinate the logistics for the Advising Center and Summer Faculty Advisor program. Develop and communicate departmental procedures with all appropriate levels of college personnel.
  • May supervise student workers.
  • Other related duties as assigned.

Qualifications :

  • EducationBachelor’s Degree required.Master's Degree in liberal arts or college student personnel / student affairs preferred.
  • ExperienceMinimum of two years working in higher education supporting student initiatives and programming. Demonstrated exceptional organizational and communication skills. Proven experience supporting members of a department with training and software. Preferred- Project management skills with technical expertise in mining data, strong knowledge of and working experience with statistical packages for analyzing data (Excel).;Strong analytical skills with the ability to collect, organize, and disseminate significant amounts of information with attention to detail. Computer / word processing experience in an educational or counseling setting preferred.Business process analysis, major computer system implementations, and / or major analytical or research studies preferred.Knowledge of SARS or Qless scheduling system preferred.Knowledge of reporting packages (Business Objects, preferred.
  • Working Conditions :

  • Computer and Microsoft Office software, electronic appointment system, mainframe access, printers, phone headset equipment, general copy machines, calculator, cart for hauling materials.
  • Fast -paced, multi-faceted student service environment.
  • Must be able to handle several tasks simultaneously.
  • Occasional nights and weekends required.
  • This position requires a background check and drug screen.
  • Hybrid Remote Eligible :

    Hiring Range :

    Classified 12 Hourly / 26.00 - 28.00
