Duties and Responsibilities
The Project Support Associate will assist with providing professional and timely class member communication, proper documentation handling, special projects and daily required time entry reporting.
The essential functions include, but are not limited to the following :
- Supports interdepartmental functions including but not limited to :
Accounting
OpsAdminConducts day-to-day communication with class members for multiple cases as assigned.Position is hybrid / must come into the office on Mondays, Tuesdays, and Wednesdays on your team’s assigned week. Failure to come into the office on your assigned day will result in an occurrence and may lead to termination.Provides back-up and support for day-to-day communication with class members for cases assigned to others, as needed.Professionally and expertly conducts telephone communication with class members, ensuring class members receive timely and accurate information that meets their needs.Reviews each assigned email inbox daily, providing satisfactory responses to each class member’s email in the assigned SLA (Service Level Agreement).Works effectively with project managers and / or project support specialists to ensure escalated class member situations are resolved in a timely manner.Independently handles all day-to-day administrative responsibilities associated with each assigned case.Handles sensitive information and data for special cases concerning secure information, as needed.Proactively review and understand all documentation associated with each assigned case.Assists with the formatting, proofreading, and testing of any documents, websites, and / or email notices associated with a case, as needed.Assists with the creation of canned responses, IVR scriptsAssists with additional administrative tasks, as needed.Assists with Admin inbox and court listener tasksHandles tasks requiring strong attention to detail after completing extensive training; these tasks may include, but are not limited to claim processing, documentation handling, and phone outreach assignments etc.Assists with training individuals in administrative roles, upon request of manager.Assists individuals in administrative roles with escalated customer service situations.Assists individuals in administrative roles with minor questions and concerns, upon request of manager.Continually works toward strengthening knowledge of industry and all relevant applications (Liquid Planner, Zendesk, SharePoint, Courtex)Communicates regularly and effectively with all colleagues.Meets regularly with managers to provide feedback and facilitate communication.Adheres to all business processes while performing tasks.Able to take on new tasks and responsibilities as needed.Performing other work-related duties as assigned by management.Essential Qualifications
Education and Experience :
Minimum of (2) year of professional experience in a customer service / administrative roleMinimum of (1) year of professional of experience in the Administrative Associate positionMinimum Requirements, Skills and Attributes :
Excellent communication and customer service skills a mustDemonstrated ability to independently prioritize tasks.Must be able to come into the office a minimum of 6 days a month.Ability to organize and manage multiple priorities.Ability to multi-task and manage time effectively.When working remotely, employees must be available and online during core business hours.Excellent organizational skills with an eye for detailsAbility to be flexible to adapt and act quickly when urgent matters require it.Display the technical skills necessary to perform all job functions.Project a positive, professional image toward clients, vendors and staff in all interactions and situationsFollow all company rules, policies and practices as contained in the Employee Handbook or as outlined by the company’s senior management.Must be able to work independently and within a team and possess a positive, "can-do" attitude.Excellent computer skills including all MS Office applications. (Word, excel, outlook, PowerPoint) required.Must have strong customer support orientation (for internal / external customers) and demonstrate professional demeanor.Traveling
On occasion, the Project Support Associate may travel to another company location, or a company sponsored event. The Project Support Associate may also from time to time be asked to run errands on behalf of the company.

Specific vision abilities required by this position include close vision, distance vision, and the ability to adjust focus. The noise level in the work environment is usually low to moderate.
This position requires the ability to analyze many variables and choose the most effective course of action at any given point in time. You must be able to manage multiple tasks and diverse work problems daily. You must be able to handle stressful situations and interact with various types of customers, while also prioritizing your workload.
