EsoP Administrator
We are growing and looking to add an ESOP administrator to our team. The internal ESOP Administrator will serve as the point person for all things related to our ESOP. This role will ensure proper plan administration, compliance with applicable regulations, employee education, and accurate recordkeeping. The ideal candidate is detail-oriented, proactive, and passionate about employee ownership.
Responsibilities
- Administer the ESOP in compliance with the plan document, ERISA, and IRS / DOL regulations.
- Coordinate with internal Trustees, valuation firm and legal counsel.
- Prepare and reconcile data for annual ESOP valuation and year-end reporting.
- Manage employee eligibility, allocation of shares, and vesting schedules.
- Handle participant communications, including annual statements, distribution notices, and general ESOP education.
- Facilitate ESOP committee meetings and maintain documentation.
- Educate new ESOP participants on the plan through onboarding documents, one-on-one meetings and phone consultations.
- Support employees nearing retirement to prepare a distribution plan and guide them through plan adjustments as needed.
- Respond to employee questions regarding the plan and provide clear, helpful guidance.
- Monitor and track plan compliance deadlines and ensure timely filings (e.g., Form 5500).
- Maintain and update internal ESOP records and documentation securely and accurately.
Required Qualifications
Bachelor's degree in Accounting, Finance, Human Resources, or related field.3+ years of experience in benefits administration, with at least 1-2 years directly supporting an ESOP or retirement plan.Strong knowledge of ERISA, IRS, and DOL regulations as they relate to ESOPs.Excellent attention to detail and organizational skills.Strong communication and interpersonal skills.Ability to manage confidential information with integrity and discretion.Expertise in Microsoft Excel, Word & Access programs.Preferred Qualifications
Experience working for an employee-owned company.Familiarity with ESOP software platforms and third-party administration processes.CEBS, ASPPA, or related certification a plus.We Offer
