Job Title : Parts and Logistics Coordinator

Schedule :

Monday-Friday, 8 : 00am-4 : 30pm, + OT as needed

General Scope :

Perform all customer service related activity as it relates to machinery parts / service parts including order entry, respond and document customer complaints, returns, and shipping advisements.

Essential Duties and Responsibilities

• Act as a resource to customers to address and resolve their inquires and problems by telephone, email, or fax to include processing orders, determining order status, pricing and availability of parts, preparing freight quotes, resolve billing questions, etc.
• Enter customer orders accurately into the computerized system, to include checking availability of product, determining if product is warehoused, and adding / updating cross reference files.
• Resolve and reconcile open order lines.
• Processing customer returns in a timely and effective manner.
• Request ship dates or lead times from production / purchasing for out of stock items to ensure the meeting of customer delivery requirements.
• Prepare bills of lading and shipping manifest for shipment. Prepare shipping labels for carriers.
• Calculate UPS charges from weights noted by shipping department.
• Match signed freight bills to file copies, after pick-ups.
• Trace shipments as requested by customers, accounts receivable and purchasing.
• Complete, organize and maintain all required paperwork, files for all parts and orders, invoices, billing registers, reports, records, documentation.
• Takes inventory of stock and reconcile discrepancies.
• Will be the backup for Material Coordinator / Purchasing Agent.
• Performs other job-related duties as assigned subject to reasonable accommodations.

Education and / or Experience :

High school diploma or general education degree (GED), and five to seven years related experience and / or training; or equivalent combination of education and experience.

Competencies :

Ability to read and interpret documents such as safety rules, operating instructions, procedure manuals, drawings, and bill of materials. Ability to write routine reports and correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
