About This Position. Reporting to the Administrative Director, the Administrative Coordinator will assist with various administrative duties related to a wide range of AIISF activities including (but not limited to) day-to-day operations, finance, fundraising, programs, and communications.

This position is primarily located in the San Francisco Bay Area and may require traveling to AIISF’s office in downtown San Francisco, Angel Island State Park, and other off-site locations as required by the job.

About AIISF. Founded in 1983, AIISF is the primary nonprofit cooperating association working with Angel Island State Park on preservation and education related to the former US immigration station at Angel Island.

During the years that the station was open from 1910-1940, the site was used to detain, interrogate, and process over 500,000 persons from 80 different countries.

Most of these immigrants were from Asian and Pacific countries and were held at Angel Island due to the nation’s exclusionary immigration policies.

Now designated as a California Historic Landmark and as a National Heritage Site, the buildings of the former Immigration Station hold an important and esteemed place in the hearts and minds of hundreds of thousands of Bay Area, California, and US immigrants and their descendants.

AIISF protects the historic site, elevates its stories, promotes learning, and celebrates the new beginnings and immigrant contributions that define the strength of the US.

Responsibilities

Administrative support. This includes activities such as managing and triaging the organization’s general e-mail and voicemail accounts;

document control and filing; ordering supplies; and supporting the Executive Director and other staff as needed.

Finance support. This includes activities such as coding invoices and other expenses; tracking donations, expenses, and deposits;

mailing accounts payable checks.

Fundraising support. This includes data entry into AIISF’s donor database; generating reports; generating acknowledgement letters;

supporting in-person and virtual fundraisers.

Program support. This includes tracking program registrations; coordinating logistics for in-person and virtual programs;

data entry; and helping to staff the welcome desk / gift shop at the Angel Island Immigration Museum.

Communications support. This includes assisting with coordination of AIISF’s social media channels, including Facebook, Instagram, LinkedIn, and YouTube;

drafting the monthly newsletter; updating the AIISF website.

Other duties as assigned and needed.

Required Qualifications

  • Bachelor’s degree or 4 years of equivalent experience
  • Strong verbal communications skills
  • Strong written communication skills
  • Strong organizational and planning skills with ability to successfully manage multiple priorities and deadlines
  • Ability to work with diverse communities
  • Proficiency with Microsoft Office products and Zoom
  • Availability to work some evenings and weekends

Desired Qualifications

  • At least 4 years work experience in museums, education, or related field
  • At least 2 years of previous coordinator-level experience
  • Graphic design skills
