Job Description :
A special education administrative assistant with Medicaid responsibilities involves administrative tasks like record-keeping scheduling and communication along with specific duties related to the Medicaid process for special education students such as requesting prescriptions pulling and compiling reports communicating with parentsetc. The role requires strong organizational skills attention to detail and the ability to handle confidential information along with knowledge of both special education and Medicaid regulations.
Core duties
- Administrative Support : Provide high-level administrative support to the Director of Special Education which includes managing calendars scheduling meetings and handling correspondence.
- Record Management : Maintain confidential student and departmental records including student information systems board records and confidential personnel files.
- Communication : Act as a liaison between staff parents and external agencies handling internal and external communication and potentially serving as a receptionist.
- Reporting : Assist in preparing and submitting various reports including local state and federal reports as well as special reports related to special education and student services.
Medicaid billing duties
Gather necessary information from student IEPs for Medicaid billing.Ensure the accuracy of Medicaid billing data by verifying information and correcting discrepancies.Submit claims for reimbursement of Medicaid-eligible services.Manage and maintain a filing system for all Medicaid-related documents for each student.Resolve disputed claims by providing necessary information and following up.Prepare monthly reports summarizing Medicaid data.Ensure compliance with state and federal Medicaid regulations and maintain student confidentiality.Required skills
Excellent organizational and time management skills.Strong attention to detail.Proficiency in office software including word processing and database software.Ability to handle sensitive and confidential information with discretion.Strong communication and interpersonal skills.Knowledge of special education procedures and relevant state and federal regulations.Assistant that can translate for Special Education Department is preferred but not required.
