Job description

Office Services Coordinator

We are looking for an organized and detail-oriented Office Services Coordinator to provide comprehensive administrative support for a dynamic team in Irvine, California. In this role, you will handle a variety of office tasks, ensuring smooth operations and efficient workflow. This is a long-term contract position with the potential for extension or conversion based on business needs.

Responsibilities :

  • Process vouchers accurately and on time for various transactions.
  • Prepare and reconcile expense reports, including tracking and submitting receipts.
  • Provide administrative support for contracts, including documentation tracking and coordination with stakeholders.
  • Assist with accounts receivable tasks, such as invoice tracking, follow-ups, and basic reporting.
  • Manage electronic document signing processes using DocuSign, including tracking and filing completed documents.
  • Support minor marketing tasks and assist in organizing internal or client-facing events.
  • Coordinate and schedule meetings for brokers, ensuring timely communication and availability.
  • Prepare marketing materials, including printing and binding collateral for presentations and client meetings.
  • Perform general administrative duties to support the team's daily operations.

Requirements :

  • Strong verbal and written communication skills with the ability to work collaboratively across teams.
  • Proficiency in Microsoft Office Suite, including Excel, Word, and PowerPoint.
  • At least two years of experience in an administrative or office support role.
  • Familiarity with Adobe InDesign is a plus.
  • Basic computer skills and ability to learn new systems quickly.
  • High school diploma or equivalent education.
  • Demonstrated ability to manage schedules, coordinate meetings, and prepare reports.
  • Experience in accounts receivable or invoice tracking is preferred.
