Job Details
Your focus : Executive Support + Internal IT Liaison
Executive Assistant / Project Coordination Duties :
Own complex calendars for leadership : schedule meetings, coordinate client calls, and keep everyone where they need to be.
Arrange travel, conference registrations, and related logistics when needed.
Prepare and clean up deliverables : reports, slide decks, simple spreadsheets, and polished correspondence.
Organize internal meetings, take notes / minutes, and track follow-ups and action items so nothing slips.
Help organize small internal projects and process updates across the office.
Maintain confidential files, contact lists, and internal documentation with a high attention to detail.
Internal IT Liaison Duties :
Serve as the main point of contact for staff when something “tech-y” is off — computers, logins, printers, phones, basic software issues.
Open, track, and escalate IT service tickets with outside vendors or internal IT resources; follow through until resolved.
Keep an accurate inventory of hardware and basic software / licenses across the office (laptops, desktops, docking stations, monitors, etc.).
Support basic onboarding and offboarding tasks : user account requests, email setup, simple access changes (working with IT).
Coordinate hardware / software provisioning, renewals, and license tracking with vendors.
Spot recurring tech issues, flag patterns, and help suggest small process or training tweaks to reduce repeat problems.
What you’ll bring :
2–5+ years in an Executive Assistant, Administrative Assistant, Project Coordinator, or Office Coordinator role (professional services or legal is a plus, not a must).
Strong comfort with computers and common office tech : Microsoft 365 / Office, Outlook calendars, basic troubleshooting.
Experience working with IT support or help desk / ticketing systems is a big plus.
High attention to detail, solid writing skills, and the ability to keep sensitive information confidential.
Calm, steady presence — you can juggle moving pieces, track details, and keep leadership informed without drama.
A “let me figure this out” mindset when it comes to both logistics and tech.
