Seeking a Patient Service Representative (Front Desk / Phones / Patient Concierge)

Seeking an established full-time patient service representative to join our team who is passionate about the aesthetic industry, strives to be on the forefront of the industry, loves working with all staff to support patient visits, educate patients, create long-lasting relationships, work in a team environment, and serve as a brand ambassador. Must be outgoing, efficient, self-sufficient, and display strong organizational skills, innovation, attention to detail, ability to prioritize effectively and work in a fast-paced environment, while interfacing with office staff, management, and most importantly patients. Leads with a positive spirit and polished professional appearance each and every day.

About the Role

The Patient Services Representative is responsible for providing excellent client service and hospitality to our patients and guests through the smooth and efficient operations of the reception area, check-in and check-out counters, phone system, and other patient communication software. This individual will also act as a patient advocate by being knowledgeable in all areas of the practice covering surgical and non-surgical treatments and will strive to ensure strong relationships are created between current, new, and prospective patients of the practice. Greet clients, always with a smile, and provide them your full attention. In a tranquil, personable demeanor, answer queries, educate, direct check-in and check-out processes, manage POS operations and maintain reception and retail areas. Provide clients with pertinent information to prepare for their appointment, including necessary intake forms, to maximize their visit experience. Ensure all relevant forms and documentation is complete and ready for the visit. At check-out ensure the patient visit experience was exceptional; schedule future appointments, assist with retail purchases, and invite to events with the goal of increasing patient loyalty and retention. Be a resource and liaison for the client. Promote services offered by the medical spa and plastic surgery center for those seeking guidance in achieving a more beautiful, youthful appearance through noninvasive procedures, skincare and cosmetic surgery. Build business and increase bookings by showing enthusiasm and inviting clients to treatments, skincare, workshops and events that would interest them.

Requirements : QUALIFICATIONS

  • Minimum High School graduate or equivalent
  • Minimum of 1 year scheduling or customer service experience
  • Prior aesthetic medicine, medical, dermatology, or plastic experience preferred
  • Exceptional interpersonal and communication skills
  • Punctual
  • Ability to respond accordingly and in a timely fashion when directed by supervisor(s)
  • Ability to work independently while functioning in a team environment
  • Excellent etiquette, professional appearance, and a positive attitude
  • High level of organization skills with attention to detail
  • Ability to multitask and pivot quickly
  • Excellent at building patient relationships, satisfaction, and loyalty
  • Knowledge of Microsoft Office, Google Suite, Nextech, internet, computer use, general office, and photography equipment

Work Environment : Fast-paced office

Job Type : Full-time

Work Schedule : Some Saturdays required as well as flexibility. Position requires 2 evenings per week until approximately 7 : 30 p.m. and 1-2 Saturdays per month.

Candidates must live within 25 miles of Vernon Hills, IL, no exceptions.

Salary : Starting at $20.00 per hour. Competitive Compensation is commensurate with experience.
