HR Shared Services Associate (Hybrid)
Location : Parsippany, NJ
Employment Type : Contract (Anticipated through 12 / 31 / 2025, with possible extensions) Compensation : $27.50 / hour
About the Role
We are seeking a proactive and motivated HR Shared Services Associate to join our HR Shared Services team. This critical role acts as the primary liaison between the HR department and our employees and managers, operating within a high-volume call center environment. You will be the front-line expert, supporting, resolving, and actioning inquiries across the entire employee lifecycle—from onboarding to offboarding.
We are looking for someone resourceful and ready to "get their hands dirty," as this role involves both high-level issue resolution and necessary administrative tasks like filing and records retention.

Key Responsibilities
As an HR Shared Services Associate, you will be a central point of contact, ensuring a seamless and positive experience for all employees. Your duties will include :
- Employee & Manager Support : Handle a high volume of inbound calls on the dedicated HR phone line, providing superior customer service and phone etiquette.
- Issue Resolution : Create and manage cases in our HRConnect system for each inquiry, conducting necessary research and timely resolution of diverse HR issues.
- HR Life Cycle Management : Guide employees and managers through various HR processes, including onboarding, job changes, leave management (LOA), and offboarding.
- Data Quality & HRIS : Execute WorkDay data entry and transactions accurately for all employee lifecycle events (hires, compensation updates, transfers, etc.).
- Compliance Assurance : Ensure strict adherence to company policies and governmental regulations, with a specific focus on processing I9s and eVerify requirements.
- Operational Support : Actively assist with centralization projects, process redesign, policy improvements, and essential back-office tasks like filing and organizational support.
- Collaboration & Escalation : Work effectively with cross-functional teams (IT, HR, Payroll, Legal) and manage timely escalation of customer dissatisfaction to the appropriate HR Specialist.
Qualifications and Requirements
Must-Have Skills
Experience : 1-5 years of direct experience within an HR function, demonstrating foundational knowledge of HR policies (e.g., I9 processing, records retention).Communication : Excellent verbal and written communication skills are essential for both customer support and internal partnering.Service Excellence : Proven success with customer service and professional phone etiquette.Soft Skills : Must be highly proactive, resourceful, energetic, and motivated , with a willingness to take ownership of tasks and learn new responsibilities.Confidentiality : Demonstrated ability to handle sensitive and confidential information with the utmost discretion.Administrative Readiness : Not afraid to handle all duties, including necessary filing and organization.Preferred Qualifications
Bachelor’s Degree in Human Resources or a related field.Experience supporting a multi-site or remote client base.Prior experience working in an HR Shared Services or call center environment.Familiarity with HRIS systems like Workday and / or case management systems (e.g., Neocase, ServiceNow).Proficiency in MS Office or Google products.Fluent in Spanish is a plus.Working Logistics
Work Model : Hybrid model in Parsippany, NJ.August : 3 days onsite, 2 days remote.Starting September : 4 days onsite, 1 day remote (5-day work week).Work Schedule : 40 hours per week. Must be able to work one of two possible shifts :8 : 30 AM – 5 : 00 PM EST9 : 30 AM – 6 : 00 PM EST
