Salary : $25-$30 hourly

The Onboarding & Systems Specialist plays a vital role in creating a seamless, welcoming, and supportive experience for new hires and employees across the organization. This role blends strong interpersonal skills with technical precision, ensuring that our people systems, tools, and processes not only function smoothly but also enhance our team culture. The ideal candidate will have a warm, approachable personality and a meticulous eye for detail to make sure every new team member feels valued, supported, and excited to join.

Duties and responsibilities

Onboarding & New Hire Experience

  • Coordinate the technical and systems side of onboarding to ensure new hires have timely access to all platforms, tools, and resources.
  • Partner with hiring managers to deliver a welcoming and engaging first-day and first-week experience.
  • Serve as a friendly, approachable contact point for new hires, answering questions and ensuring they feel supported.
  • Guides new hires through completing required documentation, ensuring compliance and a smooth, confident start.
  • Managing file compliance, documentation, background checks and references.

People Systems Management

  • Administer and maintain HRIS (Human Resources Information System), and related platforms with accuracy and confidentiality.
  • Troubleshoot technical or access issues quickly, providing timely support to employees and managers.
  • Implement process improvements to simplify and enhance the employee lifecycle experience.
  • Technology Integration & Support

  • Support the integration of new people-related technologies and / or processes to ensure smooth adoption across the organization.
  • Ensure that new employees have the needed logins, credentials and equipment to begin work immediately.
  • Provide training, resources, and guidance to staff so they feel confident using our systems.
  • Handle laptop transitions collect old devices, wipe data, and get them ready for new team members.
  • Optimize system performance and maintain compliance with data and security standards.
  • Manage and provide oversight to the tracking of company assets, furniture and equipment.
  • Employee Experience & Culture

  • Model warmth, friendliness, and approachability in all interactions, ensuring employees feel welcomed and cared for.
  • Contribute to engagement and culture-building initiatives by offering a human touch to technology processes.
  • Anticipate employee needs and proactively remove barriers to a positive workplace experience.
  • Acts as a cultural ambassador, traveling to regional offices to spark connection, share company values, and gather authentic team feedback.

  • Qualifications :

    The ideal candidate possesses the following characteristics / skills :

  • High School diploma or equivalent required.
  • 2 years of administrative or office support experience (HR experience preferred, but not always required).
  • Experience with office software (Microsoft Office, Google Workspace) and sometimes HRIS / payroll systems.
  • Comfortable working with laptops and basic hardware setup from wiping old devices to getting new ones ready for team members.
  • Strong interpersonal skills with a genuinely welcoming and supportive personality.
  • High attention to detail, with the ability to manage multiple systems and tasks simultaneously.
  • Ability to troubleshoot, problem solve, and communicate technical information clearly.
  • Organized, proactive, and committed to creating a positive employee experience.
