Responsibilities :
Bilingual Communication : Act as the primary Spanish-language contact for field crew members, assisting with forms, scheduling, and general inquiries. Fluently translate verbal and written communications between Spanish-speaking employees / subcontractors and English-speaking management.
Office Support : Greet visitors, answer and screen incoming phone calls, and manage correspondence (email, mail, faxes) in a professional manner.
Documentation & Filing : Prepare, organize, and maintain physical and electronic project files, contracts, permits, lien waivers, and other essential construction documents.
Data Entry : Accurately enter data into construction management software, spreadsheets (e.g., Microsoft Excel), and databases.
Financial Assistance : Assist with basic accounting / bookkeeping tasks, such as tracking and coding invoices, processing expense reports, and preparing payment requests.
Logistics & Scheduling : Coordinate and schedule meetings, site visits, and travel arrangements for the management team as needed.
General Administration : Manage office supply inventory, operate standard office equipment, and handle other clerical duties as assigned to support the construction and project management teams.
Working hours : 11 : 00 AM - 4 : 00 PM
Skills :
Language : Native or near-native fluency in both Spanish and English (written and verbal) is required.
Experience : Proven experience (1+ years preferred) in an administrative, clerical, or office assistant role, preferably within the construction, engineering, or related industry.
Technical Skills : Proficient with Microsoft Office Suite (Word, Excel, Outlook). Familiarity with construction management software (e.g., QuickBooks, Procore, etc.) is a plus.
Location : Must be based in or near Reno, NV, and available to work part-time hours at our office location.
Soft Skills : Excellent organizational, time management, and problem-solving skills with meticulous attention to detail. Strong ability to handle sensitive and confidential information with discretion.
Education : High School
Experience : 1-4 years
Qualifications :
Working knowledge of construction terminology, documentation, and processes.
Previous experience working in an office.
