We are seeking a detail-oriented and experienced Business Office, Bookkeeping & Facilities Manager to oversee the college’s financial and operational infrastructure.
Position Summary
The Business Office, Bookkeeping & Facilities Manager is responsible for overseeing all bookkeeping and accounting functions, payroll administration, vendor contracts, budget monitoring, and compliance requirements. This role also manages facilities operations to ensure that the campus is safe, compliant, and well-maintained. The position works closely with the President, Financial Aid, Registrar, and other administrative departments to support the College’s mission.
Key Responsibilities
Bookkeeping & Business Office Operations
- Maintain accurate financial records consistent with GAAP and government auditing standards.
- Process accounts payable and receivable, including vendor invoicing and student payments.
- Enter bills, receipts, and deposits in QuickBooks; reconcile accounts monthly.
- Process payroll biweekly, ensuring accurate compensation, deductions, and reporting.
- Monitor actual expenses against budgets; prepare monthly variance and cash flow reports for leadership.
- Support annual budget development, including collection of prior year data, departmental input, and revisions based on enrollment projections.
- Coordinate with Financial Aid and Registrar offices on reconciliations, refunds, and student account adjustments.
- Maintain internal controls and audit-ready documentation.
Facilities Management
Develop preventive maintenance schedules for HVAC, pest control, janitorial services, and safety inspections.Manage vendor relationships for cleaning, landscaping, and repairs; review and approve invoices.Track and resolve maintenance requests using a work order system.Ensure compliance with OSHA standards, Henrico County fire inspections, and local building codes.Conduct regular walkthroughs of classrooms, clinics, and common areas to identify and resolve issues.Prepare annual facility evaluation reports and long-term upgrade recommendations.Respond to emergency facility needs to minimize disruption to operations.Qualifications
Bachelor’s degree in Accounting, Business Administration, Facilities Management, or related field (preferred).Quickbooks - Must be highly proficientMinimum 3–5 years of experience in bookkeeping, accounting, or office management.Proficiency with QuickBooks and Microsoft Office Suite; ADP Workforce Now experience strongly preferred.Knowledge of payroll, financial reporting, and compliance requirements.Familiarity with OSHA, fire safety, and Virginia state / local compliance standards.Strong organizational skills and ability to manage multiple priorities.Excellent written and verbal communication skills.Schedule & Work Setting
Full-time, onsite at Lotus Professional College’s Richmond campus.Standard office hours with occasional evening / weekend availability for inspections or urgent facility needs.Compensation & Benefits
