Job Summary

The Project Coordinator is a key position on our team; they act as our quarterback coordinating projects with the customer, the sales and production team members, and vendors, to achieve flawless execution of Sales Orders. The right candidate is an experienced sign and graphics professional, a self-motivated team player with great interpersonal skills who values delivering an excellent customer experience. This role requires a person to be very organized, detail-oriented, work well in a fast‑paced team environment, and efficiently manage multiple projects simultaneously. From time to time, they are involved in direct interaction with clients to determine and validate the scope of work, assist in quoting customer projects, and with the help of the GM, develop our supplier capabilities and reduce costs. The successful candidate is self‑confident with customers, not afraid to showcase professional ability and creativity, and, most importantly, can have fun while keeping the customer thoroughly informed throughout the fulfillment process. The succession plan from this position is to take on the responsibilities of a site General Manager.

Responsibilities

• Work with the customer to determine the project needs and offer solution options.
• Establish great relationships with customers, while gathering the necessary project information and taking the opportunity to upsell them on additional products and services.
• Communicate and coordinate key project data with internal departments and external vendors to meet the project specifications and timing.
• In conjunction with the GM, assist with estimating project costs with material vendors, internal production teams, and outside contractors.
• Utilize existing pricing guidance on standardized product pricing, provide customers with timely and accurate project pricing and timing estimates, involving others as needed.
• Produce and finalize project folders prior to submitting them to the production department. Complete reconciliation reports and enter that data into the reconciliation worksheet.
• Assist in preparing and analyzing key monthly customer opportunity reporting data and recommend improvement actions.
• Follow and document processes and procedures of the role, develop those not already documented for inclusion into the Business Manual.
• Maintain accurate and timely information in the ShopVox Project Management system.
• Research and develop resources/systems that create timely and efficient workflows.
• Audit and communicate complaints with management/ownership.

Qualifications

• Possess High School Diploma or equivalent.
• Possess a valid Driver’s License.
• Minimum of one to three years’ experience in an office or customer service position.
• Excellent communication skills in fluent English; ability to speak a second language is a plus but not required.
• Ability to exercise integrity, resolve conflict, and build rapport.
• Ability to think and reason strategically, logically, and tactically.
• Comprehensive computer skills including software (Windows, Office, database experience), hardware, programs, and applications.
• Design capabilities preferred but not necessary.
• This position is a ground floor opportunity that offers rapid advancements and long‑term professional growth; much latitude in how the business operates.
• This is an hourly wage position with a wage rate between $15–$25 per hour, based on experience, capabilities and skills.
• 2 weeks Personal Time Off (PTO), with an accrual plan available after probation and increasing with years of service.
• 401k benefits after one year of service; Health Care Savings Account (pending).
• The company offers six (6) paid holidays.
• Company computer and cellphone and mileage reimbursements are offered based on usage.

Compensation & Benefits

Compensation: $12.00 – $25.00 per hour (hourly wage position), based on experience, capabilities and skills.
