Location : Denver Colorado

Pay rate : $23.81-$51.52

Shift : Monday through Friday

As a part of Uptown Community Health Center, Caritas Internal Medicine sees patients of 18 years and older from all backgrounds of life for Primary Care services. As the main clinic for a Residency program we have over 30 different Providers who rotate through our clinic.

Summary

The Office Supervisor is critical in ensuring the front and back office maintains a steady flow of registering, rooming, and the day-to-day operations of patients seen for office visits. This position demonstrates a high level of knowledge of all elements and duties of a Patient Service Representative (PSR) and a Medical Assistant (MA). Including a high level of functioning within the electronic health record in order to mitigate disruptions in the flow of patients through the health center. They are also relied upon for managing schedules, ordering, stocking medical supplies, and ensuring that all front and back-office tasks are completed in a timely and competent manner. They will train and orient new hires on clinic processes and workflows, supervise annual competencies, assess associate proficiencies, and collaborate with clinic leadership on annual performance evaluations of the Medical Assistant team. They may be called upon to have corrective action conversations with the associates on their team.

Essential Functions

Be available to work in person as scheduled and report to work on time regularly and reliably.

Maintains a safe, secure, and healthy environment by adhering to organization standards, policies, and procedures, and to legal regulations; alerting others with potential concerns.

Communicates in a professional, clear, effective, and compassionate way with patients, visitors, and coworkers. Both in person, on the telephone, and with written communication.

Responsible for all Medical Assistant and Patient Service Representative essential functions and duties.

Participates in the recruiting, hiring, evaluation, and if necessary, corrective action and termination of staff.

Responsible for training all new hires in clinic operations as well as on-going and recurrent training for current staff.

Responsible for the scheduling of vacation approvals, with attention to sufficient coverage to maintain clinic operations.

Participates in clinic standard work initiatives and ensures training and compliance of workflows.

Responsible for Regulatory Meeting attendance and holding Medical Assistants compliant to regulatory requirements.

Disseminates information from the variety of meetings appropriately to the Medical Assistant Team and / or Patient Service Representative Team.

Participates in professional development activities and internal / external customer service.

Responsible for CLIA waive testing, for weekly QCs, monthly Joint Commission Tracers, and quarterly Trophon audits.

Ensures patient check-in and registration is done in a courteous, efficient, accurate, and friendly manner.

Complete no-show appointment process, per health center protocol.

Proper and accurate documentation within the electronic medical record : recording patient examination, treatment, and test results.

Maintains patient confidentiality and protects medical office operations by keeping information confidential; cautioning others regarding potential breaches.

Maintains a clean work area : Clean and stock the rooms in accordance with the Kanban system.

Attends and participates in daily huddles, staff meetings, standard work meetings, staff trainings, and associate events.

Keeps medical and office equipment operating by following operating instructions and established procedures; troubleshooting breakdowns; maintaining supplies; performing preventive maintenance; calling for repairs.

Pass all competencies initially and annually on time.

Other duties as assigned.

Qualifications / Experience

Required :

High school diploma or GED equivalent

Diploma / Certificate accredited medical assisting program

One year of experience in healthcare

Basic Life Support (BLS) Certification

Preferred :

Three years of experience in healthcare

Experience with Epic application

Experience with Microsoft Office

Experience working with and sensitivity toward special populations, including those with limited income, limited education, and non-English speaking individuals

Bilingual English / Spanish - complete comprehension, literacy, and fluency in both languages
