Responsible for effective and efficient clinic operations for assigned clinic(s). Collaborates with Director of Mason Health Clinics to establish and implement common standards and achieve organizational goals and objectives. Coordinates coverage and work flow to ensure smooth operations within the practice and serves as expert for back office processes and procedures as well as familiarity with the front office processes. Responsible for the oversight of the assigned clinical supervisory and support staff's scope of practice / scope of competency and provision of nursing and support services.Job Specific Duties & ResponsibilitiesEnsures high quality patient care is provided. Constantly assesses patient flow, wait times, and schedules. Takes action to resolve delays and maximize patient comfort. Leads the daily practice management.Oversees nursing functions, and telephone triage regarding symptom assessment, information, intervention and appropriate provider referral for patients. Collaborates with providers on patients that require care management. Coordinates family care meetings and visits for chronic care patients; provides post visit follow-up phone calls as needed.Addresses and resolves operational and personnel issues that may arise.Develops relationships with providers; proactively addresses their needs and manages back office operations to their expectations, in line with organizational practices.Directs and coaches staff in methods for increasing provider satisfaction, including proper advance preparation of patient care areas, medical records, and proactive anticipation of provider needs.Oversees, creates and maintains staff schedules, as necessary. Provides coverage as needed for staff members (as applicable).Monitors patient volumes, patient satisfaction, quality of care, and performance of staff to identify areas for improvement. Develops and implements workflows and processes to enhance patient experience, increase efficiency, decrease costs, or improve daily operations.Serves as a liaison across disciplines. Participates as an active member of various committees; leads work groups, projects and committees as assigned.Executes management tasks in an accurate and timely manner. Manages clinic to meet service and performance expectations. Maintains appropriate staffing levels and competency of staff. Maintains equipment and physical space. Provides effective leadership and oversight of assigned staff; leads by example and provides support, guidance, coaching and performance management when needed. Monitors and manages staff satisfaction and engagement.Maintains professional skills and awareness of regulatory changes, compliance issues, innovations and developments, through research and training / continuing education opportunities. Ensures compliance with all regulatory requirements and federal, state and local laws. Stays abreast of trends and best practices. Maintains programs and records in good order, as required for efficient and effective operations.Other duties as assigned.Required Education and Experience :
Bachelor's degree in Business Administration, Healthcare Administration or related field. In lieu of a bachelor's degree, commensurate experience is required.Five (5) years of progressively responsible experience in a medical office practice setting.Progressive supervisory experience in a medical office practice or clinical setting required; two (2) years of management responsibility, preferred.Required Licenses, Certifications and / or Registrations :
Current Basic Life Support (BLS) certification, or within 180 days of hire.Required Knowledge, Skills, and Abilities :
Knowledge of practice management / clinic administration and operations, and patient / customer relations.Knowledge and skill in techniques of good patient care.Ability to cultivate effective relationships and work in collaboration with medical and administrative staff, patients, and the public. Strong leadership, facilitation, delegation, and coaching skills.Proficient in the use of current technology, including Microsoft Office products. Ability to learn and effectively use electronic medical records and other systems and equipment.Professional and effective written and verbal communication skills. Ability to identify and employ communication strategies appropriate to the audience.
