We currently have a need for a Facilities Coordinator to coordinate facilities maintenance services at our Customer Solutions Center in Phoenix, AZ.

Job Title

HVAC Facilities Coordinator

Responsibilities

  • Under general supervision, wholly responsible for all aspects that pertain to designated customer account(s).
  • Conduct telephonic and electronic follow up and closing functions for open HVAC work orders on designated account(s) to meet contractual obligations and ensure work orders are completed on time.
  • Manage daily HVAC service provider communications, including following up with providers via telephone and email to obtain status updates on work orders, updating work orders in the EMCOR system, and communicating with the account team on reassignments.
  • Serve as the main point of contact for HVAC service providers.
  • Manipulates Excel work order data to prioritize service provider communication.
  • Communicate regularly with service providers and customers regarding work order updates.
  • Update and upload information into the system to reflect latest work order status.
  • Coordinate and communicate with account teams on work order escalations and service provider invoicing issues.
  • Ensure work order reassignments are notified to the account team representative for action.
  • Assist in dispatching work orders if the customer service representative / dispatcher is out of the office.

Qualifications

  • Education : Associate's Degree or equivalent experience.
  • Business Experience : Minimum of two years' experience in facilities maintenance, property management or customer service; experience in managing commercial HVAC service delivery required.
  • Language Skills : Bi-lingual English-Spanish preferred.
  • Technical Qualifications & Skills : Advanced proficiency in MS Windows Applications, including MS Excel and Word. Must be able to type a minimum of 50 wpm and have good writing skills.
  • Professional and friendly demeanor; willing to go above and beyond to accomplish the mission.
  • Ability to work under pressure and make correct decisions with limited input; escalate issues to the Facilities Manager / Supervisor or Account Manager when needed.
  • Effective and efficient communication with Operations Staff and Call Center Operations to carry out program objectives.
  • Critical thinking and problem-solving abilities.
  • Courteous, professional demeanor at all times; convey confidence in providing and receiving pertinent information.
  • Punctual, reliable and strong work ethic.
  • Work Environment

  • Desk position with computer / monitors in a distraction-free and well-maintained office facility. A hardwired internet connection is required. Remote working will be an essential skill.
