Front Office Client Coordinator - Emerald Tax and Accounting

Position Overview

We’re seeking a Front Office Client Coordinator who is friendly, organized, and detail-oriented to be the welcoming face and voice of our firm.

In this role, you’ll spend your day connecting with people — answering calls, assisting new leads, scheduling appointments, and ensuring every client feels valued from their first interaction with us.

This position is ideal for someone who loves building relationships, staying organized, and creating a smooth, positive experience for both new and existing clients.

Key Responsibilities

Client Communication and Reception

Answer incoming phone calls, emails, and text messages with professionalism and warmth

Greet clients and visitors in the office to ensure a friendly and professional first impression

Take accurate messages, route calls appropriately, and manage the voicemail inbox

Lead Management and Scheduling

Contact new leads promptly and follow up as needed (training and scripts provided)

Schedule consultations for the accounting team and confirm appointment details

Maintain accurate records of all leads, consultations, and follow-ups in our system

Client Onboarding Support

Send welcome emails, engagement letters, and onboarding documents

Guide clients through the onboarding process and ensure all required forms are completed

Keep client files organized and updated in our CRM and shared folders

Office and Administrative Support

Assist with general office tasks such as mail handling, scanning, and data entry

Support the accounting team with document tracking and client communication

Maintain an organized, professional office environment and uphold company standards

Qualifications

1+ year of experience in a receptionist, administrative, or customer service role (preferred)

Excellent phone, verbal, and written communication skills

Strong attention to detail and organizational skills

Comfortable using computer systems, CRM software, and email platforms

Positive attitude, reliability, and a genuine desire to help people

Experience in a professional services or accounting environment is a plus (not required)
