Description
Perform a variety of responsible, confidential and complex secretarial and clerical duties for the Parks and Recreation Department; act as liaison between corresponding department and others; and provide information and assistance to the public.
Position will start on January 5, 2026.
Essential Functions

Screen calls, visitors, and mail; perform errands for immediate supervisor; respond to sensitive requests for information and assistance; provide general information and assistance to City staff and the public; research information.
Participate and assist in the administration of the office to which assigned; research, compile, analyze, enter, and summarize data for special projects and various comprehensive reports; prepare or direct the preparation of various administrative reports; process and check reports for accuracy; send out reports as required.
Submit requisition requests; process purchase orders for department; issue purchase orders to vendors; prepare claims for payment.
Assist in coordinating municipal activities among two or more City departments or offices; coordinate the flow of paperwork between departmental and divisional levels.
Perform a wide variety of complex, responsible, and confidential duties for immediate supervisor; compose and prepare letters, memorandums, bid specifications, travel reimbursement requests, news articles and other material as required by respective department; order and maintain office supplies as required; produce advertising or promotional materials as required.
Arrange meetings and conferences as required; post notices of public meetings.
Initiate and maintain a variety of files and records for information including purchase orders, patron registration, payroll, budget, and personnel records; maintain manuals, update resource materials and departmental roster as required.
Attend various meetings; may serve as Secretary to a board or commission; prepare and compile the agenda and assemble background materials; record minutes of the meetings and perform related support services.
Type and proofread a wide variety of reports, letters, memos and statistical charts; type from rough draft, verbal instruction; compose general correspondence related to responsibilities assigned.
Assist in preparing, coordinating and monitoring the assigned budget; compile annual budget requests; may count and record revenues, collect and prepare deposits.
Administer departmental credit card usage, including recordkeeping and monthly reconciliation.
Operate a variety of office equipment including a computer; perform routine maintenance on office equipment; input and retrieve data and test; organize and maintain computer information storage and filing.
Maintain a variety of personnel records and files including vacation and sick leave requests, workers' compensation files, and payroll records.
Perform related duties as assigned.
Qualifications
Knowledge of :

Experience :
At least two years of increasingly responsible clerical and administrative experience.
Training :
High school diploma or equivalent, supplemented by specialized training in clerical and administrative functions.
License or Certification :
None required.
Working Hours :
Monday - Friday 8 a.m.-5 p.m.
Salary :
Position will start at the entry level of the City's salary table. Consideration may be given if experience exceeds entry level qualifications.

Candidates are subject to a background check.
Rates Effective January 1, 2026 and aresubject to change.
This is a general guide for the purpose of informing all new employees of benefits. Coverage for all benefits, with the exception of the retirement savings plan, is effective the first of the month following one full calendar month of full time employment. Payroll deduction will begin in the month prior to the effective date of coverage. The retirement savings plan is effective on the first day of employment.
HEALTH INSURANCE : Blue Cross / Blue Shield coverage provided to the employee and dependents. There are two options : a Qualified High Deductible Plan with an HSA, or a Traditional PPO plan. If your spouse is eligible for coverage on their employer's group health plan, spousal coverage with the City is not available.
The semi-monthly premiums for the High Deductible Plan : ($3400 / $5900 deductible)
The semi-monthly premiums for the Traditional PPO Plan : ($1000 / $2000 deductible)
DENTAL INSURANCE : Delta Dental coverage provided to employee and dependents. The employee is responsible for a portion of the premium. $5.31 for Single, $10.49 for Emp. 2 / 4 or $21.78 for Family semi-monthly.
VISION INSURANCE : EyeMed Vision coverage is available to employees and dependents. The employee is responsible for the full premium. Employee only - $7.09; Employee / Spouse - $13.88; Employee / Children - $14.61; Family - $21.48. All rates are monthly payroll deductions.
LIFE INSURANCE : Securian / Ochs Life Insurance coverage provided for employee ($50,000), spouse ($10,000), and dependents ($5,000 each), with premiums paid by the City. Supplemental life insurance available for employee and dependents through payroll deduction.
RETIREMENT PLAN : Mandatory Ameritas Retirement Plan - 6% of gross earnings matched by the City. Effective on date of employment. Four year vesting schedule. Voluntary after-tax contributions up to 10% - not matched by City.
DEFERRED COMP : Five optional Deferred Compensation Plans which allow pre-tax contributions up to $23,500 per year.
LONG-TERM DISABILITY : CIGNA - LTD provided for employee. Pays a portion (60%, maximum of $8500 per month) of employee's salary should he / she becomes disabled.
CAFETERIA / 125 PLAN : Optional participation by the employee. Can be used for medical expenses, non-employer sponsored premiums and / or dependent daycare.
VEBA PLAN (HRA) : MidAmerica. Health reimbursement plan to be used for post-employment medical expenses. Contributions of $20 per pay period are made by the City.
PAID VACATION : Upon completion of the 6-month introductory period an employee is eligible to take 40 hours of vacation time. The employee will accrue an additional 40 hours in the first 6 months following the introductory period. (96 hours in year 2 - 4; 115 hours in years 5 - 9; 136 hours in years 10 - 14; 160 hours in years 15 - 19; 178 hours in years 20 - 24; and 200 hours in year 25 and thereafter.)
PAID HOLIDAYS : Ten holidays and two personal leave days. If hired after April 1st, personal leave will be available October 1st.
MEDICAL LEAVE : Accrual of 8 hours per month which is cumulative to a maximum of 1,339 hours.
