Contracts & Finance Administrator
A leading technology company is seeking a Contracts & Finance Administrator to join its Workplace team on a year-long contract. The team has a strong preference for candidates based in the San Francisco Bay Area who can support hybrid onsite needs, however remote candidates will also be considered depending on experience and alignment with the role. This role is ideal for an organized, detail-oriented administrative professional with experience supporting contract workflows, vendor management, and finance operations. The Contracts & Finance Administrator will play a critical role in keeping contract documentation accurate, ensuring smooth approval and renewal cycles, and supporting key accounts payable and accrual processes. This is a highly administrative, documentation-heavy role that requires exceptional organization, clear communication, and the ability to work independently in a dynamic environment.
Key Responsibilities
- Draft, review for accuracy, and track Workplace contracts throughout their lifecycle.
- Maintain organized, up-to-date digital contract records and ensure timely document filing.
- Gather missing information from internal Workplace stakeholders and track contract status through completion.
- Support contract execution, renewals, extensions, and amendments.
- Monitor contract deadlines and proactively notify team members regarding upcoming expirations.
- Manage contract closeout procedures and ensure all contractual obligations have been met.
- Coordinate invoice processing, ensuring timely submissions and tracking payment status.
- Assist with monthly accruals related to contract spend and vendor activity.
- Help maintain accurate financial reporting tied to Workplace contracts and operational budgets.
- Handle sensitive contract and financial documentation with discretion and confidentiality.
- Maintain organized digital filing systems and support document management workflows.
- Communicate clearly with dispersed Workplace and cross-functional teams.
- Perform additional administrative tasks as needed to support team objectives.
Requirements
35 years of administrative experience, ideally in contract administration, vendor management, procurement operations, accounts payable, or similar functions.Strong organizational skills with sharp attention to detail and accuracy.Ability to manage multiple priorities, deadlines, and workflows simultaneously.Clear and professional written and verbal communication skills.Ability to work independently with minimal supervision and collaborate with distributed teams.Proficiency in Google Workspace (Docs, Sheets, Drive) and familiarity with document management systems.Experience supporting contract workflows or financial operations preferred.Hands-on experience in contract coordination, contract tracking, or vendor documentation.Comfortable supporting invoice workflows, AP processes, or monthly accrual tasks.Highly organized, deadline-driven, and able to maintain clean, accurate records.Adaptable to shifting priorities in a fast-moving environment.Proactive communicator who can follow up with internal teams and vendors as needed.
