Position Summary : Seeking a highly motivated individual to provide support for 2-3 managers. This role involves offering back-up support to assistants, team support, and assistance with special projects and events as needed. The ideal candidate will possess strong organizational skills, attention to detail, self-motivation, teamwork, and excellent communication and interpersonal skills.
Primary Responsibilities / Accountabilities :
- Provide comprehensive support to managers, including calendar management, travel arrangements, and expense reports.
- Assist with direct reports as needed.
- Offer larger team support, including organizing morale events, onboarding and offboarding new hires, and procuring goods and services such as computer equipment, office supplies, and reference materials.
- Manage asset tracking and facility requests.
- Exercise sound judgment, tact, diplomacy, integrity, confidentiality, and professionalism in all communications and interactions.
- Build and maintain strong business relationships with executive-level and counterpart administrative staff, both internally and externally.
- The team supports leaders with logistics, calendaring, event scheduling, compliance tracking, and expense management. Key projects include calendar management across time zones, expense reporting, travel booking, compliance reminders, and distribution list management.
Qualifications :
2-4 years of experience in a similar role.Proficiency in products, including Outlook, Excel, Word, PowerPoint, Visio, and SharePoint.Experience with tools like expense and employee management systems is a plus.Preferred :
