Job description

Administrative Assistant

Indigo Industries is seeking a detail-oriented and proactive Administrative Assistant to support day-to-day business operations and executive staff. The Administrative Assistant will play a critical role in ensuring smooth workflow, document management, scheduling, and coordination of internal and external communications. This position requires a high degree of professionalism, discretion, and the ability to manage multiple priorities in a dynamic defense-focused organization.

Key Responsibilities :

  • Provide general administrative support to executive leadership and program managers, including scheduling, calendar coordination, and travel planning.
  • Prepare, proofread, and format internal and external correspondence, meeting agendas, reports, and presentation materials.
  • Manage logistics for internal and customer-facing meetings, including space reservations, video conferencing setup, and material distribution.
  • Maintain and organize files, records, and company documentation in compliance with internal policies and contract requirements.
  • Track deliverables, deadlines, and administrative workflows related to contracting, finance, and human resources.
  • Support coordination of onboarding processes for new employees and subcontractors.
  • Assist in preparing documentation for government and industry engagements, including NDAs, corporate capability statements, and contract forms.
  • Act as point-of-contact for administrative inquiries and liaise with external vendors and service providers.

Minimum Qualifications :

  • Associate degree in business administration, communications, or a related field; or equivalent work experience.
  • Two or more years of administrative or operational support experience in a corporate, defense, or government contracting environment.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and document collaboration tools (e.g., Google Workspace, Adobe Acrobat).
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality, prioritize tasks, and operate with minimal supervision.
  • Preferred Qualifications :

  • Bachelor's degree or administrative certification.
  • Experience supporting DoD or federal contracting programs.
  • Familiarity with expense reporting, procurement systems, and CRM or ERP platforms.
  • Prior exposure to security compliance or controlled document handling is a plus.
