Job description

We are hiring a Practice Manager to support Philadelphia FIGHT's Johnathan Lax Treatment Center. Practice Managers act as a liaison with clinical staff, senior leadership, billing and EMR staff to ensure the smooth operations of the health center they oversee. In addition, Practice Managers hire, coach, mentor and evaluate front desk staff and Medical Assistants to ensure clinics provide state-of-the-art culturally competent primary care to Philadelphia FIGHT's patients. Philadelphia FIGHT is a leading Federally Qualified Health Center with four clinical sites, providing access to primary care, advocacy, social services, consumer education, and outreach for all patients in need, regardless of HIV status or insurance status.

About the Role :

  • Schedule : Full-time, Monday - Friday (9 : 00 - 5 : 00 PM).
  • Location : Jonathan Lax Treatment Center, 1233 Locust St FL 4, Phila, PA 19107
  • Compensation & Benefits :

FSLA exempt with an annual salary of $69,000 per year

  • Requirements :

  • Bachelor's Degree required or at least 5 years relevant experience in healthcare, public health, or social work setting will be considered in lieu of degree.
  • At least 3 years' experience working within a clinical outpatient setting; preferably within an urban community health center.
  • At least 3 years' experience in a supervisory position is required; ability to work as a servant leader is required.
  • At least 3 years' experience working with traditionally marginalized populations, which may include any of the following : individuals formerly incarcerated, those who are experiencing substance abuse / addiction, LGBTQIA+ (clients, patients, and staff). If working in FIGHT's pediatric / youth health center, experience working in a pediatric and / or adolescent practice is required.
  • Must possess basic computer skills to perform job duties including desktop computing, electronic medical records, e-mail, time sheet management, reporting, internet research, etc. using relevant software such as HRIS and Microsoft Word, Excel, etc.
  • Discretion, initiative, and ability to maintain HIPAA compliance.
  • Due to a high volume of Spanish speaking patients, bilingual candidates (Spanish / English) are strongly preferred.
  • Must be able to exercise good judgment and identify when to escalate issues as appropriate.
  • Knowledge of de-escalation methods or willingness to be trained in these methods.
  • Ability to handle stressful situations while providing exceptional customer service.
  • Must be able to demonstrate judgment, patience, integrity, organization, and prioritization in a multi-task environment.
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices such as OSHA, HIPAA, HRSA, CLIA and funding body regulations.
  • Strong skillsets in interpersonal relationships and teamwork, attention to detail, dependability, customer service, time management, autonomy and problem solving.
  • Candidates must possess strong communication skills, the ability to multi-task and excellent attention to detail and follow-up skills.
  • Ability to remain solution-focused and respectful in all interactions with staff, co- workers, vendors, and clients.

  • Responsibilities :

  • Manages day-to-day operations of the practice consistent with FIGHT and / or regulatory guidelines; establishes and implements operational procedures and monitors patient visits.
  • Tracks and facilitates legal and regulatory compliance for assigned clinic (e.g., HIPAA, OSHA, CLIA, HRSA, VFC, Title X, informed consent, etc.).
  • Hires, trains, evaluates and develops ancillary staff in support of core FIGHT values and policies, practices and principles; address and monitor the specific goals and assignments of each staff member by facilitating weekly one / one supervisory meetings. Manages staff schedule to ensure appropriate coverage.
  • Collaborates with non-medical support staff, such as the resource navigators, behavioral health consultants, social workers, and other onsite ancillary staff to ensure outstanding patient care.
  • Assist the Medical Director in building and maintaining relationships with community-based organizations to expand services for assigned center.
  • Acts as a back-up for front desk staff as it relates to scanning documents into medical records, reminding patients of upcoming appointments, pre-registering and registering patients, processing referrals, ensuring timely completion of forms, processing letters of medical necessity and prior authorizations.
  • Collaborates with Medical Director and Nurse Care Coordinators to maximize clinician time and room space by monitoring weekly provider and resource schedules and developing a strategy for reducing no show rates.
  • Collaborates with the billing department and Medical Director to monitor billing functions and ensure operational efficiencies (managing payment plans, monitoring accounts receivable, insurance company verification, proper coding, slide scale fees for those that are uninsured, etc.).
  • Actively participates in continuous quality improvement initiatives.
  • Collaborates with Senior Director - Clinic Operations, Medical Director, Human Resources, Risk Management and / or Compliance when issues arise.
  • Receives and addresses patient feedback as it applies to ancillary staff; reports similar feedback for clinic staff as appropriate.
  • Reports patient complaints or incidents as required; collects appropriate documentation, works to resolve issues by following management policies.
  • Assesses the physical plant on a routine basis, ensuring that the space is neat and clean, reports safety hazards, maintenance or facilities problems promptly.
  • Coordinates and monitors inventory and supply ordering; collaborates with nursing / dentists to ensure that appropriate medical / dental supplies are ordered.
  • Prepares all mandatory reports accurately and in a timely manner.
  • Represents the clinic at meetings (Quality Management, OSHA, etc.), outreach programs and community involvement activities when applicable.
  • If stationed at Lax Center, will manage Part C grant.
  • Abides by all compliance standards including but not limited to completing training and attending all required team / staff meetings, clinical supervision meetings and / or other check-ins.
  • Upholds and ensures compliance and attention to all FIGHT policies and procedures as well as the overall mission and values of the organization.
  • Other duties as assigned to fulfill FIGHT's mission.
