Job Summary
The purpose of the Receptionist/Administrative Assistant position is to provide a pleasant welcome and assistance to the general public, including residents, visitors, vendors, and staff.
Qualifications:
Education: High school diploma or equivalent.
Experience: Previous experience with multiple phone lines, typing, use of office equipment. Must have prior computer experience and proficiency in Microsoft Office products.
Personal Qualities: Friendly, courteous, and outgoing at all times. Pleasant telephone voice and polite manner. Professionally dressed and well-groomed in accordance with Springdale’s Non-Uniform Dress Code.
Physical Demands/Working Conditions:
Sitting, standing, bending, reaching, lifting, and stooping in confined quarters throughout the day. Daily computer use, including typing and using a mouse. Often must deal with residents and families who are emotionally upset.
Essential Job Duties and Responsibilities:
· Greet visitors and vendors and direct them to their destination
· Answer front desk phone within three rings if possible
· Screen and transfer phone calls to appropriate extensions
· Page overhead when required (example: Fire Drills and All-Clear)
· Provide applications to job-seekers
· Assist A/P with filing, mail, opening of invoices and dating all correspondence
· Perform clerical duties for the Administrator and other Department Heads, including but not limited to: typing, copying, sorting, faxing, and filing
· Provide other receptionists with complete and accurate information to keep the reception desk running smoothly at all times.
· Sort and distribute incoming mail and packages to the appropriate residents and departments by placing in mail slots located at the front reception desk; any Business Office mail is to be placed with the interoffice mail
· Maintain a tidy reception desk and surrounding area; keep the floor clear of obstructions at all times
· Update the rolodex roster each morning
· Issue meal tickets for employees/guests, collect payment and keep money locked up at all times
· Collect payments from residents and/or their family members, provide a receipt, make required copies, and keep money locked up at all times
· Send collected money to the Business Office in regular intervals
· Prepare admission packet and folder for each new admission or re-admission and give to Director of Admissions as needed
· Update and maintain the phone extension and emergency contact lists
· Maintain office equipment and order supplies, such as toner, as needed
· Make labels for payroll and personnel folders
· Abide by policies, practices, and procedures and maintain consistent and punctual attendance.
· Practices and adheres to Infection control polices
