Position Overview :
The Coordinator – Facilities Services is responsible for managing day-to-day mailroom operations, print device support, and general office services for the Dallas campus. This is a hands-on role that requires physical activity, organization, and multitasking in a fast-paced environment.
⚠️ This is not an administrative or clerical position.
The role requires mailroom and package handling experience and the ability to manage 600–900 daily deliveries .
Key Responsibilities :
Mailroom, Shipping & Receiving
- Receive, sort, and distribute 600–900 packages daily to multiple departments.
- Process and deliver all incoming / outgoing mail and packages (USPS, FedEx, DHL, UPS, etc.).
- Maintain accurate records for accountable mail (Express, Registered, Certified, Insured).
- Manage and update mailing forms and vendor address lists.
- Coordinate with vendors (FedEx, DHL, USPS, Staples, Iron Mountain) to maintain mailroom standards.
- Handle urgent or “rush” delivery requests for business correspondence.
Print Device Support
Deliver paper and supplies for printers, copiers, and fax machines.Act as the first responder for basic print device issues; escalate to technical support as needed.Monitor printer supply levels and submit replenishment requests.Ensure proper maintenance and usage of all office printing equipment.Conference Center Support
Coordinate audio-visual setup for meetings (Skype, WebEx, Teleconference, VTC).Prepare meeting rooms, coffee, and refreshments as needed.Maintain AV and conference equipment in good working condition.Campus Services & Supplies
Monitor and reorder office and pantry supplies (coffee, paper, toner, etc.).Check and restock micro-markets and coffee stations.Serve as first point of contact for Tier 1 dining and facility issues.Support conference scheduling and coordination.Requirements :
Experience : Minimum 3 years in mailroom, facilities, or building services roles.Physical Requirements :Ability to lift up to 25 lbs regularly.Must be able to stand and walk for extended periods during the shift.Screening Requirements :Must pass a background check and 5-panel drug screening .Must complete OIG / GSA / OFAC Exclusion Screenings prior to start date.Additional Details :
