Job Summary : Responsible for performing various administrative / departmental, secretarial and clerical duties. Understands and follows the organization’s policies, procedures and standards. Is an independent worker, meeting the day to day needs of the Department. Participates in performance improvement activities.
Job Duties and Responsibilities :
- Greets visitors, directs visitors appropriately; maintains the communication flow of the office, especially the shared calendar.
- Responsible for taking minutes of all foundation meetings. Ensures that all documentation is printed and available to attendees for all scheduled meetings.
- Answers the telephone in a pleasant and professional manner; screens calls, takes messages, directs calls appropriately.
- Manages the donor database daily, taking proactive measures to update as needed, and runs appropriate reports.
- Prepares bank deposits and sends out prompt thank you notes (generated from donor database) for each donation.
- Maintains an organized, efficient filing system.
- Assists with audit & budget reports.
- Interacts professionally with all visitors, within the department / office and with other departments.
- Demonstrates the ability to be flexible and organized during stressful situations.
- Manages and operates equipment safely and correctly.
- Works closely with the director to formulate, direct and coordinate marketing activities to promote the Foundation.
- Coordinates both internal and external meetings including material preparation, conference room booking, greeting guests, logistical support, and arranging catering.
- Accepts other duties as assigned.

Meets dress code standards; appearance is neat, clean and professional.Completes annual educational requirementsMaintains regulatory requirements, including all state, federal and CMS regulations.Maintains and ensures patient confidentiality at all times.Maintains confidentiality regarding administrative / directorial discussion and meetings.Reports to work on time and as scheduled, completes work within designated time.Wears identification while on duty, uses computerized time system correctly.Performs department in-services and returns in a timely manner.Represents the organization in a positive and professional manner.Actively participates in performance improvement and continuous quality improvement activities.Complies with all organizational policies regarding ethical business practices.Communicates the mission, vision, core values, ethics and goals of the facility, adhering to the Standards of Performance.Works at maintaining a good rapport and a cooperative working relationship with all fellow employees in all departments.Attends committee & management meetings, as appropriate.Ensures compliance with policies and procedures regarding department operations, fire, safety and infection control.Regulatory Requirements :
High school graduate or equivalent.Three to five years administrative experience preferred. Non-profit experience a plus.
