Schedule : Monday–Thursday, 7 : 00 AM–4 : 00 PM & Friday, 7 : 00–11 : 00 AM

The Opportunity

As a Procedure Coordinator, you’ll play a key role in ensuring that every procedure is seamlessly scheduled, authorized, and supported. You’ll collaborate closely with patients, providers, and surgical centers to ensure accuracy, efficiency, and comfort throughout the process.

What You’ll Do :

Patient Coordination & Scheduling

  • Greet patients during Pre-Op or PACU to schedule upcoming visits.
  • Communicate pre-procedure instructions clearly and answer patient questions with compassion.
  • Contact patients to confirm procedure dates and times, providing reassurance and clarity throughout the process.

Administrative & Operational Support

  • Schedule and maintain procedure calendars according to clinic and ASC guidelines.
  • Provide booking sheets to the ASC and coordinate schedule changes as needed.
  • Maintain accurate tracking records using approved tools such as EHR, Excel, or Smartsheet.
  • Perform coverage duties for Reception as needed and assist with general office tasks.
  • Compliance & Documentation

  • Obtain insurance authorizations and ensure approvals are in place before procedures.
  • Secure necessary patient signatures and verify all required paperwork.
  • Adhere to established clinic and regulatory standards for accuracy and confidentiality.
  • Physical & Functional Requirements

  • Ability to sit for extended periods and communicate effectively (speak, hear, and use both hands).
  • Frequently lift and / or move up to 10 lbs; occasionally up to 25 lbs.
  • Maintain visual accuracy (close vision, depth perception, and focus adjustment).

  • Qualifications

  • High school diploma or GED required
  • Associate’s degree or higher in a medical-related field preferred
  • Minimum 1 year in a clinical setting (interventional pain clinic experience preferred).
  • At least 1 year as a procedure scheduler or prior authorizations coordinator preferred.
  • Knowledge of medical terminology, ICD-10 codes, and insurance requirements.
  • Strong written and verbal communication skills.
  • Empathetic toward patients managing pain and related stressors.
