We are seeking a detail-driven, proactive People Operations & Payroll Coordinator who thrives in systems, workflow, and follow-through. This role ensures staff experience, payroll, and benefits run smoothly and accurately, with consistent communication and reliable execution.
ROLE SUMMARY
The People Operations & Payroll Coordinator owns the day-to-day HR administration for IFC, including payroll processing, benefits administration, Rippling system maintenance, and employee data accuracy. This role requires exceptional attention to detail, responsiveness, confidentiality, and strong task management.
This is a part-time , high-accountability position focused on :
Payroll & timecard administration
Benefits enrollment & Open Enrollment cycles
HR data accuracy & compliance
Rippling configuration & troubleshooting
Smooth employee onboarding / offboarding
Clear, timely communication with staff and vendors
KEY RESPONSIBILITIES
Payroll Administration
Process bi-weekly payroll using Rippling
Audit timecards, hours, PTO, reimbursements, and wage calculations
Communicate directly with staff to resolve discrepancies
Enter pay adjustments, bonuses, non-clinical hours, and supplemental pay
Reconcile payroll deductions and employer contributions
Ensure accurate tax and direct deposit processing
Benefits & 401k Administration
Coordinate enrollments, changes, and terminations for health, dental, STD / LTD, and 401k
Manage Open Enrollment cycles (communication, system setup, staff support)
Work with brokers, carriers, and 401k provider (401Go)
Reconcile benefits billing and contribution reports
Respond to employee benefits questions and support PTO policy administration
Rippling System Management
Maintain employee records, pay types, deductions, leave policies, and permissions
Troubleshoot system issues in Rippling, escalate to support when needed
Generate custom reports for payroll, benefits, tenure, hours, and operations metrics
Ensure proper setup for new hires, role changes, and terminations
HR Compliance & Documentation
Maintain employee files, policies, and People Ops documentation
Support annual W-2, tax, and compliance processes through Rippling
Update and maintain employee handbook sections related to People Ops
Collaborate with CPA on payroll-related reporting needs
Communication & Support
Provide timely, clear responses to employee questions
Proactively communicate delays, discrepancies, or policy concerns
Support leadership in delivering a consistent employee experience

REQUIREMENTS
2+ years HR, payroll, or people operations experience
Experience with Rippling or another HRIS strongly preferred
Advanced attention to detail and ability to manage complex data sets
Excellent written communication and follow-through
Ability to work independently and meet deadlines
Confidentiality and professionalism in all employee matters
Comfort working in a fast-moving, mission-driven clinical practice
