Aviation Dispatcher

Arranges travel on company aircraft for the offices of the Chairman, Board of Directors and other company personnel. Assigns flight crew work schedules. Coordinates pre-flight planning including aircraft handling and filing flight plans and permitting / clearances. Prepares flight manifest, including fuel requirement for all aircraft, distance of flight, maintenance verification, and weather limitations. Arranges hotel, airline, and ground transportation when needed. Liaisons with Corporation Global Security to ensure flight operation and ground stops are secure for passengers, crew, and aircraft. Performs work of higher levels of complexity, scope, and impact. May assist with more complex projects. Detailed knowledge of work group processes and procedures.
Responsibilities for this position may include but are not limited to :
- Schedules passengers and cargo based on the status and availability of aircraft.
- Balances schedules against the various capabilities of different aircraft and their maintenance availability.
- Plans normal and special flights based on priority of transportation requirement and aircraft availability, and cost benefit analysis.
- Maintains a knowledge of the factors that affect flight planning : aircraft capabilities, maintenance problems, weather, and flight rules.
- Plans ahead and must improvise on the stop for events such as hurricane evacuations, spills, and other offshore emergencies.
- Dispatches helicopters by matching transportation requirements by priority of need to the availability and capability of aircraft.
- Uses "Air Schedule" computer program to compute aircraft fuel, weight and balance requirements and useful loads to determine that routes are planned and flown in the most efficient manner.
- Keeps up with aircraft positions for implementing changes that improve efficiency or cost savings.
- Is familiar with Word, Excel, ForeFlight and Chevron programs.
- Uses Excel and SmartBox to schedule and dispatch flights.
- Uses ForeFlight to plan and file IFR flights.
- Makes reports to monitor and inform supervisors of aircraft usage.
- Checks on aviation weather and helps to plan flights and keep pilots updated.
- Knows how weather affects the different types of flights and knows the minimum weather requirements for each aircraft.
- Gathers and reports weather conditions in aviation terms useful to pilots.
- Communicates with various aircraft users, drilling, construction, production and 3rd party customers to keep abreast of current and projected needs.
- Operates radio, telephone and computer communication systems.
- Communicates with customers from all levels, treats all with respect and knows the meaning of "Customer Focus".
- Relates aircraft capabilities to customer requirements.
- Coordinates and negotiates to resolve conflicting requirements and capabilities.
- Communicates with ATC to file flight plans and receive IFR clearances.
- Receives and ships cargo. Is totally familiar with Policy 530 and Hazmat requirements.
- Is responsible for being part of the chain-of-custody for water samples arriving from offshore locations.
- Fills out bills of lading and hazmat paperwork.
- Knows the importance of cargo weight in relation to aircraft capabilities.
- Conducts passenger safety briefings and is responsible for passenger and vehicle movements around the helipad.
- Is conversant with Federal Aviation Regulations (including the differences between Parts 91 and 135 and the differences between Instrument and Visual Flight Regulations) and knows their effect on aircraft flights and is able to communicate with FAA facilities our flight information.
- Knows U.S. Customs regulations as they apply to our flights and coordinates with Customs Agents the clearance of inbound flights from foreign flagged vessels.
- Coordinates flights into Offshore Warning Areas with flight controlling authorities (USCG, USAF, etc.) Knows the aviation costs and metrics. Is able to use the various costs in situations where they apply. Knows paxmile costs and where they apply. Knows when to use hourly costs and when to use Direct operating costs. Is familiar with heliport operating costs and looks for savings opportunities. Is totally cost-conscious. Knows the difference between cost allocation and cash out. Gives work direction to heliport roustabout. Other duties as assigned.
Required qualifications :
High school diploma or equivalent.Must have 2 years' experience as an aviation dispatcher.Ability and willingness to work rotational schedule (e.g. 7 and 7).Ability and willingness to work 12-hour shifts.Must be familiar with Word, Excel. Uses Excel and SmartBox to schedule and dispatch flights.Preferred qualifications :
Familiarity with ForeFlight Programs and Chevron Programs.Experience configuration of weight and balance and receiving ATC clearances and flight plans.Relocation will not be considered. International considerations : expatriate assignments will not be considered.
