Job Title : Front Desk Associate

Location : Bilingual Speech Language & Swallowing Therapy

Reports to : Director of Operations

Position Summary :

The Front Desk Associate plays a vital role in the smooth and efficient operation of the office. This individual is responsible for managing daily front desk activities, supporting administrative functions, and ensuring a positive experience for all patients and visitors. The ideal candidate is highly organized, customer-service oriented, and able to manage multiple tasks in a fast-paced environment.

This position is ideal for candidates with 13 years of front desk, administrative, or customer service experience , preferably in a healthcare or office setting. Bilingual abilities in Spanish or Mandarin are strongly preferred.

Key Responsibilities :

  • Create and maintain a welcoming and professional environment for all visitors and staff
  • Greet patients and clients upon arrival, ensuring a friendly and efficient check-in process
  • Answer incoming phone calls, respond to emails and text messages, and manage appointment scheduling
  • Maintain a clean, organized, and inviting front desk and waiting area
  • Collect and review new patient forms, including medical history and required documentation
  • Assist patients with completing paperwork (e.g., demographic forms, release of information)
  • Update and verify patient information such as insurance details and payment methods
  • Collect co-pays and other payments; follow up on outstanding balances or payment plans
  • Manage and update patient therapy schedules using scheduling software
  • Support therapists with scheduling changes and time-off requests
  • Ensure intake forms are up to date and comply with clinic or office protocols
  • Qualifications :

  • 13 years of experience in a front desk, administrative, or customer service role (healthcare or office setting preferred)
  • Excellent verbal and written communication skills in English ; fluency in Spanish or Mandarin is a strong plus
  • Strong customer service and interpersonal skills
  • Detail-oriented with strong organizational and multitasking abilities
  • Proficient with computers and scheduling or EMR software (training available)
  • Positive attitude, strong work ethic, and ability to work well in a team environment
  • Ability to translate information and support non-English-speaking patients as needed
