We are seeking a detail-oriented and highly organized Sales Operations Administrator to support our premium appliance sales team. The ideal candidate will play a critical role in streamlining our sales processes, managing order logistics, and ensuring exceptional operational efficiency.
Order Management
- Coordinate with sales team and internal departments to resolve complex order-related issues
Maintain accurate and up-to-date order records in ERP system, Prophet 21
Execute complex and restricted Prophet 21 activities such as item deletion / cancellation, running and processing order reports such as Allocated Items reporting, Unlinked PO reporting, Unlinked Sales Order reporting, Surplus to Allocate Cross Location reporting, Required Date Changes reportingItem Allocation
Oversee product allocation across orders and sales repsMonitor inventory levels and orders with allocated items, or missing itemsWork closely with inventory management to optimize stock distributionCreate allocation reports to support strategic decision-makingCommunicate through the full set of stakeholders for all operations regarding allocationsPurchase Order Linking
Match and link purchase orders with corresponding sales ordersVerify pricing, quantities, and product specifications across documentationResolve discrepancies and communicate with procurement and finance teams
Item Research and Sales Order Configuration
Conduct detailed product research to support sales team inquiriesConfigure complex sales orders with precise product specificationsSpecial Operations Projects
Participate in and lead cross-functional operational improvement initiativesDevelop process enhancement recommendationsSupport strategic company projectsAssist in creating operational efficiency reports and presentationsProcurement Assistance
Support procurement team in vendor communicationsCoordinate with sales and vendors to resolve order and delivery challengesRequirements : Qualifications :
Associate's degree or equivalent professional experience in customer service, business administration, or related field2-3 years of experience in service coordination, customer support, or dispatch operationsProficient in Microsoft Office Suite and CRM softwareExcellent communication skills, both verbal and writtenStrong problem-solving and multitasking capabilitiesProfessional demeanor with ability to remain calm under pressureHigh level of organizational skills and attention to detailTechnical Requirements :
Prophet 21 skills and experience preferredSales order managementInventory management knowledgeData analysis and reporting
