Role Description

As a Secretary II, you will manage the Director’s Office Reception area, supervise the administrative team, and coordinate complex schedules and administrative responsibilities. The ideal candidate is resourceful, a good problem‑solver and highly organized, ensuring timely completion of workload.

Responsibilities

Clerical Staff Supervision

  • Assign projects to staff, follow up and reassign as required, and complete projects according to highest priorities.
  • Ensure telephone coverage of the Reception area.
  • Hold staff meetings for clerical staff as required.
  • Front Desk Reception

  • Act as response person on phone calls and cover the front desk on a rotational basis.
  • Daily Operation

  • Assist with internal and external communications, schedule meetings, prioritize mail, screen telephone calls, walk‑in job seekers, workers and other stakeholders, draft correspondence, memos, emails, reports and forms, research, organize and document various information.
  • Prioritize and track multiple demands (e.g. invoices, travel, training).
  • Prepare reports, memos, presentations and minutes for meetings.
  • Maintain administrative files and related records.
  • Maintain office supplies, inventory and order items; assume responsibility for maintenance of office equipment.
  • Respond to questions and requests for information.
  • Answer incoming calls and perform receptionist duties when needed.
  • Edit, create and update standard operating procedures for the office.
  • Assist with travel bookings.
  • Assemble materials for the Airport Director.
  • Perform other functions outlined in the 1446 Secretary II Job Class Specification.

  • Qualifications

    Minimum Qualifications

  • Ability to type 40 net words per minute.
  • Two (2) years of secretarial experience covering editing, independently composing letters and correspondence using word processing systems; researching, compiling and organizing data for reports; and maintaining office and record systems.
  • Substitution

  • Three (3) years of verifiable clerical experience comparable to a 1424 Clerk Typist.
  • A recognized clerical training program of 240 hours or the equivalent of 15 semester units may substitute for up to 6 months of experience.
  • Supplemental Information

    May be required to take shorthand dictation or type from machine transcription. Positions requiring shorthand : 100 WPM.

  • Proficiency in MS Office (Word, PowerPoint and Excel).
  • Proficient at presenting concise, detailed information using various software applications.
  • Ability to analyze and revise office practices to improve efficiency.
  • Ability to support data collection and reporting.
  • Experience supervising administrative staff.
  • Detail oriented and comfortable working in a fast‑paced office environment.
  • Exceptional written and verbal communication skills.
  • Superior organization skills and dedication to completing projects in a timely manner.
  • Excellent time management, multitasking and prioritization skills.
  • Attention to detail and problem‑solving skills.
  • Ability to work independently with minimal supervision.
  • Application Requirements

    Applicants must meet the minimum qualification by the final filing date unless otherwise noted. One year full‑time employment equals 2,000 hours.     Verification & Selection Procedures

    Security Clearance Requirements

    Candidates for employment with the San Francisco Airport Commission must undergo a criminal history check, FBI fingerprints, and Security Threat Assessment to determine eligibility for security clearance and may be required to undergo drug / alcohol screening. Failure to obtain and maintain security clearance may be a basis for termination from employment with the Airport Commission.
