Summary of Primary Functions :
The objective of the Fleet Coordinator is to provide safe, reliable, and cost-efficient vehicles to support business operations. This involves the assist in, sale or disposal, maintain utilization & fuel reporting of a wide variety of vehicles and related attachments across Dobbs Equipment footprint. The position requires subject matter expert in all Department of Transportation (DOT) rules and regulations in addition to the licensing of all company fleet and rental assets. The Fleet Manager monitors, maintains, and files all DOT record keeping requirements such as IFTA and IRP. The Fleet Admin will also assist with DMV registration for whole good sales.
Essential Functions and Responsibilities : To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. (Other duties may be assigned)
- Assist with the Development of strategies and implement ideas and recommendations, take ownership and responsibility of the Fleet Department and its operation through independence and collaboration.
- Support the field personnel on a wide variety of fleet related matters.
- Distribute insurance information to all locations.
- Assist with fleet plans and anticipate future fleet needs.
- Maintain vehicle files with all the necessary information available.
- Manage and assign DOT credentials to drivers as well as determine if employee has the required credentials for operating a CMV.
- Prepare quarterly and annual IFTA fuel tax report.
- Collect quarterly fuel / mileage data and calculate tax obligations. Individually as well as at corporate and state level.
- Prepare annual license / registration renewals as required.
- Assist with the management of all vehicle incidents. Gather information regarding potential insurance claims. Manage insurance process for company to limit the company’s risk exposure.
- Prepare and execute the license renewal for all light duty vehicles across Dobbs Equipment footprint.
- Assist with the management of the oversight of the company driver qualification files (DQ).
- Manage the deployment and use of GPS / camera systems on connected fleet assets.
- Assist field management with utilization of service vehicles in all markets.
- Help coordinate all purchases, disposals, and the asset tracking of the service fleet to maximize the return on investment of the fleet. Record items accurately into fleet applications.
- Assist with the management ongoing sourcing, negotiations and repair and maintenance of service fleet.
- Assist with assignment of toll devices (Sunpass)
- Manage Fuel Card creation / deletion and driver PIN assignments / terminations.
- Communicate effectively with accounting on fleet matters to maintain accurate depreciation schedules and vehicles related expenses.

Fleet administration experience.Working knowledge of DOT RegulationsGeneral administration experience using Purchase Orders / Fixed AssetCustomer Service experienceAbility to handle large amounts of data effectively and efficiently.Highly effective communication skills, both verbally and writtenEducation, Skill, and / or Experience Requirements :
2 years of fleet and / or safety experience in construction industry or another related fieldMSHA and OSHA experience is a plus.Bachelor’s degree in business administration, health and safety, Safety Engineering, Environmental Health, or related field preferred. Associates or Junior College degrees will be considered when paired with managerial and operating experience.Proficient with Microsoft Office Suite or related software.Excellent organizational skills and attention to detail.Ability to conduct training.Ability to work in a fast-paced environment.Ability to use good judgment to make decisions.Ability to maintain confidentiality.Demonstrated ability to work effectively in a diverse workforce.Extensive knowledge of current company safety policies and applicable Occupational Safety and Health Administration (OSHA) standards as well as DOT policies and tax requirements.Ability to conduct training.Strong written and verbal communication as well as supervisory and leadership skills.Bilingual is a plusWork Environment :
