The Office Coordinator is responsible for the office's day-to-day operations and supports effective, efficient, quality services and delivery of programs. The Office Coordinator is the first point of contact for the community and individuals seeking Empower Tehama Services. The Office Coordinator performs duties related to reception, receiving and routing incoming calls and correspondence, greeting and welcoming clients and guests, and processing referrals. The Office Coordinator provides clerical and technical support for the Empower Tehama team. The Office Coordinator maintains inventory levels and prepares the weekly office and supply orders for assigned locations; prepares reports and documentation of services and activities as directed; maintains quality assurance of all office systems and provides administrative support for various programs and services. This position is part of the cross-trained receptionists, advocates, and first responders and may be co-located.
Duties :
- Greet and welcome the community and individuals seeking Empower Tehama Services
- Provide front desk support by receiving and routing incoming phone calls, mail, and correspondence.
- Provide support by facilitating the intake process for clients seeking domestic violence / sexual assault advocacy services, counseling services, batterers intervention services, as well as other Empower Tehama programs.
- Knowledgeable about Empower Tehamas services to ensure proper coordination of services.
- Assist in the coordination of the Tehama County Sexual Assault Response Team (SART) examinations, schedule forensic interviews and other meetings as necessary
- Foster a safe and trauma-informed environment for all clients and children.
- Document services and activities in the client database, spreadsheets, or other sources as directed within 24 hours of the service.
- Complete office opening and closing tasks daily.
- Ensure the office is organized, stocked, clean, professional, and welcoming.
- Ensure lobby cleanliness and preparedness; maintain bulletin board with current resources and updated information, stock information pockets, pamphlets, and share cards.
- Work closely with the Leadership Team to maintain quality assurance of all office systems.
- Attend scheduled meetings and trainings.
- Other duties as assigned.

Experience / Education :
Experience working in a fast-paced office setting.Experience with multi-line phone and voicemail systems.Intermediate to advanced working knowledge of Microsoft Office.Satisfactory completion of a domestic violence / sexual assault training is required (post-hiring requirement).Technical / Soft Skills :
Ability to relate to others in a non-judgmental and supportive wayAbility to utilize active listening skills and communicate clearly.Computer skills, specifically Word, Excel, and OutlookProfessional writing, grammar, spelling, and punctuation skills.Ability to multi-task, time management skills, and organizational skills.Valid California Drivers License, proof of insurance, and satisfactory drivers record required.
