Project Administrative Assistant
The Project Administrative Assistant is a project-based position that provides administrative support to the specified project within the Division. This role functions as a gatekeeper for the team, and the ideal candidate will demonstrate strong interpersonal skills and will be proficient in their written and organizational skills. Duties will include clerical assistance with correspondence, filing, and overall secretarial support in addition to routine office-related functions.
Essential Functions / Responsibilities
Responsibilities of this position include, but are not limited to, the following :
- Coordinating and overseeing the process of day-to-day administrative needs for the project.
- Perform general office duties including typing correspondence, mailing, scanning, faxing, copying, ordering construction materials, running errands, etc.
- Answer phone calls, schedule appointments, take messages, field / answer all routine and non-routine questions, and manage follow-up communication with clients and other staff.
- Maintain electronic and physical files regularly.
- Prioritize workflow, take responsibility for responding and resolving issues as appropriate, and assist internal parties as needed.
- Assist project superintendents in the facilitation of subcontract agreements.
- Assist in time entries and submissions to payroll.

Required Education and Experience
Knowledge of basic mathematical operations and calculations (e.g., addition, subtraction, multiplication, division, percentages, order of operations) to calculate labor, materials, and / or cost estimates for projects and work orders, etc.Minimum of one year of administrative experience.Ability to perform in a high-pressure environment within time constraints.Ability to effectively read, write, and communicate in the English language at a 12th-grade level.Proficient in Microsoft Office suite of products (Outlook, Excel, Word, etc.).Preferred Education and Experience
