ADMINISTRATIVE ASSISTANT

Naperville IL (Onsite)

Join our dynamic team as an Administrative Assistant, where you'll play a crucial role in supporting the Leadership Team and ensuring smooth, efficient operations. Reporting directly to the Human Resource Manager, you’ll handle a variety of tasks, from presentation preparation and data analysis to organizing meetings and events. This is a full-time, 100% onsite position, offering a vibrant and engaging work environment.

Key Responsibilities :

  • Prepare and manage confidential organizational reports and records, ensuring timely follow-up on pending matters and handling sensitive information with discretion.
  • Provide comprehensive administrative support to the CEO, including scheduling tours, lunches, travel, meetings, dinners, and trainings.
  • Maintain metric worksheets and generate monthly reports.
  • Submit expenses for the CEO using Concur.
  • Craft compelling PowerPoint presentations and coordinate bookings for various meetings
  • Assist the Contracts Administration team with tasks such as NDA preparation and agreement drafting.
  • Serve as a backup for the front desk as needed.
  • Plan and support exciting annual company events, such as holiday gatherings, golf outings, and Camp Jorn.
  • Manage internal and external correspondence with the ability to act independently.
  • Embrace other duties as assigned, contributing to the overall success of the team.

Required Qualifications :

  • 6+ years of experience in an office environment.
  • Strong organizational skills with the ability to multi-task.
  • Highly flexible and proactive, capable of handling urgent, confidential, and complex tasks with changing priorities.
  • Proficient in Outlook, Word, Excel, and PowerPoint.
  • Excellent written and verbal communication skills, along with strong interpersonal skills.
  • High level of confidentiality, reliability, discretion, quality, and professionalism.
  • Effective at interacting with individuals at all organizational levels as well as external contacts, including customers.
