Job Summary

The Lead Patient Coordinator is responsible for assisting with the day to day activities of the front desk, training new Patient Coordinators, and other administrative duties, in conjunction with the Practice / Office Manager. This position is Monday-Friday 7 : 15a-4 : 15p. English and Spanish speaking skills are preferred.

Essential job functions

  • Assumes responsibility of the front desk in the absence of the Practice / Office Manager, but reports to the Senior Operations Manager during the Practice / Office Manager’s absence.
  • Assists with training of new Patient Coordinators.
  • Assist the Office Manager with any delegated daily tasks including but not limited to cash deposits, updates to TeamBuilder, daily, weekly or monthly reports, Uber rides schedule, or approving patient coordinators timecards.
  • Performs any EMR activities delegated by the Office Manager.
  • Provides exceptional customer service during all aspects of a patient visit to Community Clinic process and address any verbal or written complaint, suggestion, petition received to ensure a great patient experience.
  • Ensures patient information is entered into the electronic medical record (EMR) accurately and updated regularly for all patients.
  • Ensures patient payments are collected, posted correctly to accounts and collections are balanced daily.
  • Coordinates with Patient Financial Services on required patient information in the EMR, payments and insurance inquiries.
  • Schedules patient appointments appropriately, based on patient needs, provider requests and approved scheduling guidelines.
  • Maintains a clean and orderly work environment to ensure the professional appearance of the Clinic at all times.
  • Keeps management team informed of all activities and on goings in the medical clinic.
  • Adheres to applicable regulatory guidelines and laws, including but not limited to HIPAA / HITECH, HRSA, NCQA PCMH and OSHA.
  • Ensures that Community Clinic will not cause or allow any organizational practice, activity, decision or circumstance which is unlawful, imprudent, and negligent, contrary to mission, vision or policies or in violation of commonly accepted nonprofit or professional ethics.
  • With respect to the treatment of users, our Clinic’s Staff may not cause or allow conditions, procedures, or decisions that are unfair, unsafe, undignified, discriminatory or preferential, or fail to provide appropriate confidentiality.
  • Ensures that Community Clinic protects our IRS tax-exempt status (501(c)(3) at all times.
  • Ability to travel for activities such as meetings, classes, and workshops. Must be able to travel by air as needed to attend training, conferences, and related activities, including overnight travel.
  • Other duties, as assigned.

Knowledge and critical skills

  • Ability to perform cash, check and credit card payment transactions with accuracy.
  • Ability to work and function independently and within a team.
  • Strong interpersonal skills and the ability to work effectively with people of all backgrounds.
  • Knowledge of computer software such as Microsoft Office Software.
  • Ability to train, guide and monitor staff and new staff, act as a liaison for manager and assist with scheduling and coverage.
  • Communication : Excellent verbal and written communication skills for interacting with patients, families and medical staff,
  • Educational Requirements

  • High School diploma or equivalent required.
  • 1+ year(s) of experience in medical field, preferrable front desk operations required.
  • Bilingual Spanish / English or Marshallese / English preferred
