Job Purpose :
The Administrative Assistant provides administrative support to members of the SLT (Senior Leadership Team) specifically the Vice President of American Sales, Vice President of Product Development and Marketing, and Vice President of Connectivity. Please note as needs change, the position may support other members of the SLT besides the ones listed. This position also provides support to other individuals within the Sales organization and other departments as needed by ordering supplies, meeting logistics, and more.
- Organize calendars and schedule appointments / occasionally take and distribute minutes.
- Assist in the preparation of contracts, quotes, correspondence, spreadsheets, PowerPoint presentations, etc.
- Make travel arrangements (airline / hotel / car rental) via corporate travel site.
- Prepare and submit travel expense reports within company guidelines.
- Process invoice payments for various departments determining the proper method of payment per company policy (Purchase Order, Intellichief, Procurement Card, Travel and Entertainment Card, etc.).
- Perform monthly reconciliation of credit card payments to include allocation to the proper cost center.
- Receive and validate customer rebate requests from ClubProcure (monthly) and NGCOA-Canada (quarterly) within the Oracle Business Intelligence system for payment processing within Intellichief.
- Champions Retreat Golf Club Liaison – Assist in management of reservation requests from employees, customers, vendors, etc. for cottage rooms, meetings / events, golf, etc. Validate and process payment of monthly statements, ensuring allocation to the proper cost centers.
- Assist VP of Americas Sales in management of ticket requests for barter deals. Coordinate ticket requests from sales leaders for their customers to attend Carolina Panthers and Houston Texans football games.
